Position Overview:
The Client Support and Sales Specialist plays a crucial role in delivering top-notch client service within our dynamic hearing clinics. In this position, you will be responsible for addressing client needs promptly, managing an organized appointment calendar, and identifying sales opportunities within the clinic. You will collaborate closely with clinical staff and management, acting as a representative for HearCanada by participating in local community outreach initiatives.
This is a full-time permanent role; typical working hours are Monday to Friday, 8:30 AM to 4:30 PM (some flexibility may be required for irregular appointments or events).
Key Responsibilities:
- Client Engagement: Handle incoming and outgoing communications, return messages, and conduct proactive follow-ups with clients, including warranty calls and appointment reminders. Welcome walk-in clients and collaborate with team members to provide optimal service, along with sending follow-up emails and marketing materials.
- Appointment Management: Oversee scheduling for clinicians by coordinating client appointments and maintaining accurate calendars, including tracking vacations and out-of-office activities to ensure service capacity is met.
- Client Documentation: Maintain accurate client records both digitally within the EMR system and physically in files.
- Supply Management: Keep track of clinical and office supply needs, placing orders with preferred vendors and obtaining necessary approvals for expenses.
- Community Marketing: Engage in community-based marketing activities such as trade shows and partnership events to enhance brand visibility in the local area.
- Financial Processing: Address client inquiries regarding payments and options, manage insurance direct-billing, follow up on government remittances, and process cash transactions.
- Office Maintenance: Ensure a clean and safe clinic environment by performing sanitation and sterilization of equipment and surfaces, creating a welcoming atmosphere for clients.
- Device Assistance: Support clinicians and clients with hearing devices, including basic cleaning and troubleshooting, while collaborating with clinical staff.
- Continuous Learning: Participate in ongoing training and development opportunities provided by HearCanada, staying informed about industry trends, product offerings, and best practices in client service.
Qualifications:
- Completion of secondary school diploma (or equivalent) is required; additional courses or post-secondary education in a related field (e.g., Medical Office Administration, Healthcare, Business) is an asset.
- A minimum of 2 years of experience in a customer-facing administrative or retail sales role is essential; experience in a clinical or high-volume retail environment is preferred.
- Experience working with vulnerable populations or in healthcare settings is advantageous.
- Comfortable handling hearing devices, with personal protective equipment provided on-site.
- A valid driver's license and access to a vehicle is preferred for local event-related travel.
- Strong customer service orientation, understanding the impact of client satisfaction on business success.
- Proficient in using technology and software, with experience in MS Office Suite; familiarity with scheduling software is a plus.
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time-management abilities.
