Role Summary

Reporting to the Deputy Clerk of Council and Committee Services, this position is pivotal in managing and facilitating the daily operations associated with Council and Committees. Responsibilities include the coordination of essential administrative tasks such as the compilation and distribution of documents related to meeting agendas, draft motions, minutes, and correspondence within specified timelines; scheduling and organizing all delegations and presentations.

Key Responsibilities

As the Coordinator for Council and Committee Services, your duties will encompass, but are not limited to:

  1. Overseeing the logistical arrangements for Council and Committee meetings, including hybrid meeting setups, conducting necessary technology tests, and collaborating with IT staff for troubleshooting.
  2. Managing the live streaming of Council and Committee meetings.
  3. Maintaining a record of pending Council and Committee business items, ensuring timely follow-up with relevant staff.
  4. Establishing, coordinating, and updating the annual schedules for Council and Committee meetings.
  5. Ensuring compliance with report and by-law writing standards, revising guidelines and associated procedures as necessary.
Ideal Candidate Profile

The ideal candidate will possess a post-secondary degree or diploma in Business Administration or a closely related discipline. A minimum of 2 years of relevant experience in an administrative capacity within a municipal context or a comparable environment is preferred.

The successful candidate will demonstrate a solid understanding of the Municipal Act and the processes related to Council and Committee Services, as well as municipal elections. Exceptional interpersonal skills and the ability to thrive in a collaborative team setting are essential.

This role requires flexibility in working hours, including in-office, remote, and after-hours commitments as necessary.

Compensation

This position offers a competitive salary range of $70,000 to $84,576.06, along with a comprehensive benefits package.

Successful candidates will be required to undergo a criminal record check and provide proof of qualifications.
