Payroll & Accounts Payable Clerk

POSITION OVERVIEW:

The Payroll & Accounts Payable Clerk role is essential in delivering financial, administrative, and clerical support to guarantee the smooth and precise functioning of financial and administrative operations.

Reporting to the Finance Controller, the Payroll & Accounts Payable Clerk will undertake a variety of responsibilities, ensuring tasks are completed efficiently and effectively. Key duties include managing payroll for both salaried and hourly employees, processing vendor invoices and payments, conducting account reconciliations, and generating various financial reports.

Key Responsibilities

Payroll Management:

  • Oversee the complete payroll cycle, ensuring timely and accurate processing in accordance with company policies.
  • Track, process, and reconcile payments related to timecards, benefits, remittances, pay advances, and mandatory deductions.
  • Verify proper form approvals.
  • Conduct regular analysis and reconciliation of ACCPAC accounts, including payroll vendor payables and related general ledger accounts.
  • Ensure timely reconciliation and remittance for monetary benefits and maintain an organized filing system for payroll-related documents.

Accounts Payable Management:

  • Review and process invoices, travel requisitions, and general expenses promptly, ensuring proper documentation to prevent duplicate payments.
  • Ensure correct approval and matching of invoices, receipts, and purchase orders.
  • Perform data entry for financial documents, including invoices and adjustments.
  • Follow up on outstanding payments and maintain a systematic filing system for vendor-related documents.

General Duties:

  • Communicate effectively with staff and address inquiries in a professional manner.
  • Adhere to organizational policies and maintain confidentiality of sensitive information.
  • Assist in the preparation of annual audits as required.
  • Perform additional related tasks as assigned.

QUALIFICATIONS:

  • Completion of a recognized accounting program or equivalent experience.
  • Familiarity with payroll best practices and knowledge of relevant regulations.
  • Proficient in MS Office applications and Sage Accpac modules.
  • Strong written and verbal communication skills.
  • Excellent analytical and problem-solving abilities.
  • Interpersonal skills to work effectively in a diverse environment.
  • Ability to work independently with minimal supervision.
  • Flexibility to work varied hours and travel as needed.
  • Current satisfactory Criminal Record Check and Child Abuse Checks are required.
