Payroll & Accounts Payable Clerk

POSITION OVERVIEW:

The Payroll & Accounts Payable Clerk role is essential in delivering financial, administrative, and clerical support to ensure the smooth and precise operation of financial and administrative tasks.

Reporting to the Finance Controller, the incumbent will manage a variety of responsibilities, executing tasks efficiently and effectively. This includes managing payroll for both salaried and hourly employees, processing vendor invoices and associated payments, conducting account reconciliations, and preparing various financial reports.

Key Responsibilities

Payroll Management:

  • Guarantee that all components of the payroll cycle are executed accurately and punctually in accordance with organizational policies.
  • Monitor, process, and reconcile payments related to timecards, benefit invoices, remittances, pay advances, and mandatory deductions.
  • Ensure proper approval of payroll forms.
  • Conduct regular analysis and reconciliation of ACCPAC accounts, including payroll vendor payables and related general ledger accounts.
  • Ensure timely reconciliation, remittance, and filing for monetary benefits and related documentation.
  • Maintain an organized filing system for all payroll-related documents, both hard copy and electronic.

Accounts Payable Management:

  • Review, assess, and ensure prompt payment of invoices, travel requisitions, general expenses, and claims while maintaining accurate documentation.
  • Verify correct approval, sorting, coding, and matching of invoices, receipts, and purchase orders.
  • Perform data entry for financial documents including invoices, requisitions, claims, and adjustments.
  • Follow up on outstanding payments and reconciliations.
  • Maintain an organized filing system for all vendor-related documents.

General Duties:

  • Communicate effectively with staff and respond to inquiries in a professional manner.
  • Adhere to organizational policies and procedures.
  • Safeguard the organization’s integrity by maintaining confidentiality.
  • Assist in the preparation of annual audits as required.
  • Perform additional related duties as assigned.

QUALIFICATIONS:

  • Completion of a recognized accounting program or equivalent professional experience.
  • Proficient understanding of payroll best practices and knowledge of relevant regulations.
  • Strong computer skills, particularly in MS Office Suite and Sage Accpac modules.
  • Excellent written and verbal communication abilities.
  • Strong analytical and problem-solving capabilities.
  • Ability to work effectively in a diverse environment.
  • Self-motivated with the ability to work independently.
  • Willingness to work flexible hours as needed.
  • Must have a satisfactory Criminal Record Check and Child Abuse Checks.
