Job Summary

We are seeking an experienced Administrative Assistant to join our team. As a trusted advisor, you will play a key role in supporting the efficient and effective operation of our business.

Key Responsibilities

  • Perform a variety of administrative and clerical activities, including data entry, record-keeping, and correspondence.
  • Review, modify and prepare general templates, letters, reports, and other correspondence materials.
  • Record minutes at various meetings and distribute or archive them accordingly.
  • Update and maintain internal databases and spreadsheets.
  • Manage and coordinate multiple calendars, schedules, and appointments.
  • Coordinate and schedule internal and external meetings, appointments, and team social events.
  • Coordinate travel arrangements and reservations.
  • Contribute to the development of new ideas and approaches to improve work processes.
  • Work collaboratively with other team members and leadership to achieve business objectives.
  • Answer and manage a high volume of incoming calls, directing them to appropriate personnel.
  • Schedule and follow up with client appointments.
  • Prepare schedules, reports, and other documents as required.
  • Follow up with creditors regarding submitted paperwork or file particulars.

Requirements

  • Post-secondary education in administration is considered an asset.
  • Administrative experience in a professional working environment is considered an asset.
  • Strong verbal communication skills, both over the phone and in-person.
  • Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously.
  • A working knowledge of Microsoft Office.
