POSITION SUMMARY

The Facilities Operations Manager is accountable for overseeing operational and budgetary management, service delivery, project oversight, client relationship management, health and safety protocols, as well as emergency preparedness and business continuity for a designated portfolio.

In this role, the individual will manage:

  • Portfolios of low to moderate size;
  • Facilities with low to moderate complexity;
  • Contractual obligations of low to moderate complexity.

KEY RESPONSIBILITIES

Portfolio Management

  • Oversees operations and maintenance tasks along with annual facility programs for a range of facilities.
  • Ensures that facility uptime goals are achieved, maintaining safe and reliable operations.
  • Develops and implements annual facility management strategies.
  • Collaborates with stakeholders to manage facility-related initiatives.
  • Supervises maintenance and repair operations, ensuring timely and quality completion.
  • Maintains comprehensive documentation within service maintenance databases.
  • Works with stakeholders to assess capital assets and recommend maintenance, repair, and replacement strategies.
  • Continuously seeks efficiency improvements through best practices and sustainable initiatives.
  • Partners with stakeholders to enhance portfolio value for clients.

Service Delivery Management

  • Ensures fulfillment of client commitments.
  • Addresses issues and maintains open communication with clients, providing regular updates.
  • Proposes solutions and implements necessary actions for challenges.
  • Monitors service delivery performance against established metrics and develops corrective action plans as needed.
  • Ensures compliance with all relevant regulations and standards.

Risk Management and Emergency Preparedness

  • Implements emergency preparedness and business continuity plans.
  • Collaborates with stakeholders on incident management.

Health, Safety, Environment & Security

  • Acts as the primary contact for health and safety compliance.
  • Facilitates vendor safety training and accreditation.
  • Organizes health and safety meetings with vendors.
  • Ensures safe execution of all work within assigned portfolios.

Client Relationship Management

  • Builds and maintains effective client relationships, ensuring satisfaction.
  • Serves as the escalation point for facility-related issues.

Budget Development & Management

  • Manages budget for the assigned portfolio.
  • Collaborates with finance teams to ensure budgetary compliance and profitability.
  • Reviews and approves expenditures.

Project Management

  • Develops and oversees project plans and budgets.
  • Ensures project delivery with minimal disruption to facilities.

Regulatory Compliance

  • Ensures all regulatory requirements are met and documented.
  • Collaborates with procurement teams to source vendors and services.
  • Maintains adequate inventory for facility operations.

People Leadership

  • Engages in employee development and performance management.
  • Other duties as assigned.

KNOWLEDGE & SKILLS REQUIRED

  • Community college diploma or equivalent training.
  • 1 to 3 years of facility management experience or 3 to 5 years in a related field.
  • Proficient in facility operations and maintenance management.
  • Strong service delivery and budget management skills.
  • Ability to influence and negotiate effectively.
  • Client relationship management skills.
  • Project management and emergency preparedness capabilities.
  • Knowledge of health and safety regulations.
  • Commitment to sustainability and continuous improvement.

Licenses and Professional Accreditation

Commitment to obtaining certifications such as Certified Facility Manager or Certified Property Manager is preferred.
