POSITION SUMMARY

The Facilities Operations Manager is accountable for overseeing operational functions, budget management, service delivery, project oversight, client relationship management, health and safety compliance, and emergency preparedness for a designated portfolio.

In this role, the individual will be responsible for:

  • Managing portfolios of low to moderate size;
  • Overseeing facilities of low to moderate complexity;
  • Handling contract requirements of low to moderate complexity.

KEY RESPONSIBILITIES

Portfolio Management

  • Oversee the operations and maintenance of a portfolio of facilities, ensuring compliance with uptime objectives.
  • Develop and implement annual facility management strategies.
  • Collaborate with stakeholders to execute facility-related initiatives.
  • Supervise maintenance activities and performance of internal technicians and service providers, ensuring timely and quality completion of work.
  • Maintain comprehensive documentation related to facility inspections and equipment data.
  • Work with stakeholders to assess capital assets and recommend maintenance or replacement strategies.
  • Continuously seek efficiencies through best practices and sustainable initiatives.
  • Engage with stakeholders to enhance portfolio value for clients.

Service Delivery Management

  • Ensure client obligations are met and maintain open communication regarding service performance.
  • Address and resolve issues promptly while providing regular updates to clients.
  • Monitor service delivery against established metrics and implement corrective actions as necessary.
  • Ensure compliance with all relevant regulations and guidelines.

Risk Management and Emergency Preparedness

  • Implement emergency preparedness and business continuity plans.
  • Collaborate with stakeholders on incident management protocols.

Health, Safety, Environment & Security

  • Act as the primary contact for health and safety compliance, collaborating with the relevant teams.
  • Facilitate safety training and ensure vendor compliance with safety standards.
  • Monitor safety practices within assigned portfolios.

Client Relationship Management

  • Build and maintain effective client relationships to ensure satisfaction.
  • Serve as the escalation point for facility-related issues.

Budget Development & Management

  • Develop and manage budgets for assigned portfolios.
  • Collaborate with finance teams to ensure budget adherence and profitability.
  • Review and approve expenditures.

Project Management

  • Develop and oversee project plans, ensuring minimal disruption to operations.
  • Coordinate with stakeholders to ensure project data is accurately maintained.

Regulatory Compliance

  • Ensure all regulatory requirements are met and documented.
  • Collaborate with procurement teams to source qualified vendors.

People Leadership

  • Engage in employee development and performance management activities.
  • Perform other duties as assigned.

KNOWLEDGE & SKILLS REQUIRED

  • Community college diploma or equivalent training (e.g., RPA, CET).
  • 1 to 3 years of experience in facility management or related fields.
  • Strong operational and maintenance management skills.
  • Proficiency in facility systems and equipment.
  • Effective service delivery and budget management skills.
  • Ability to influence and negotiate effectively.
  • Strong client relationship management skills.
  • Leadership and team engagement abilities.
  • Vendor management experience.
  • High client service orientation and urgency.
  • Project management capabilities.
  • Knowledge of health and safety regulations.
  • Commitment to continuous improvement and sustainability.

Licenses and/or Professional Accreditation

Preferred qualifications include pursuing one or more of the following certifications:

  • Certified Facility Manager (IFMA)
  • Certified Property Manager (IREM)
  • Facility Management Administrator (BOMI)
  • Real Property Administrator (BOMI)
