Event Coordinator Job Description

We are seeking a highly organized and detail-oriented Event Coordinator to join our team at JHAJJ PRODUCTION LTD. As an Event Coordinator, you will be responsible for planning and executing conferences, meetings, and special events.

Key Responsibilities:
  • Promote conference and meeting services: Develop and implement marketing strategies to promote our conference and meeting services.
  • Recruit and supervise staff: Recruit, hire, and supervise staff and/or volunteers to support event planning and execution.
  • Manage budgets: Prepare, present, and manage budgets for events, ensuring timely and within-budget execution.
  • Develop sponsorship programs: Develop and implement sponsorship, partnership, or fundraising programs to support event costs.
  • Coordinate event logistics: Coordinate and monitor conference and meeting activities, including set-ups, staging, seating, parking, communication systems, and other details.
  • Implement registration systems: Plan and arrange for accommodation and transportation services, as well as implement registration systems for events.
  • Plan social events: Plan and arrange for social events and guest programs, ensuring a positive experience for attendees.
  • Develop policies and procedures: Develop and implement policies and procedures to ensure efficient event planning and execution.
Requirements:
  • Attention to detail: Ensure attention to detail in all aspects of event planning and execution.
  • Work under pressure: Work effectively under pressure, meeting tight deadlines and managing multiple tasks simultaneously.
  • Fast-paced environment: Thrive in a fast-paced environment, adapting to changing circumstances and priorities.
  • Overtime required: Be prepared to work overtime as needed to ensure successful event execution.
Experience:
  • 1 year to less than 2 years: Possess at least 1 year of experience in event planning or a related field.
  • Permanent position: This is a permanent position, offering a stable and secure work environment.
  • English language: Fluency in English is required, with the ability to communicate effectively with colleagues, clients, and attendees.
  • 35 hours per week: Work a standard 35 hours per week, with opportunities for overtime as needed.
