About the Role

We are seeking a highly organized and detail-oriented Event Planning Specialist to join our team at JHAJJ PRODUCTION LTD. As an Event Planning Specialist, you will be responsible for coordinating and executing various events, conferences, and meetings.

Key Responsibilities
  • Promote Event Services

Develop and implement strategies to promote our conference and meeting services to potential clients.

Staff Supervision

Recruit, hire, and supervise staff and/or volunteers to ensure the smooth execution of events.

Budget Management

Prepare, present, and manage budgets for events, conferences, and meetings.

Sponsorship and Fundraising

Develop and implement sponsorship, partnership, and fundraising programs to support event activities.

Vendor Management

Review bids and negotiate costs with vendors to ensure the best value for our events.

Event Coordination

Coordinate and monitor conference and meeting activities, including set-ups, staging, seating, parking, communication systems, and other details.

Registration Systems

Implement registration systems for events, conferences, and meetings.

Logistics Planning

Plan and arrange for accommodation and transportation services for event attendees.

Documentation Management

Plan for required documentation and pre- and post-distribution of documentation (itineraries, evaluations, etc.).

Social Events

Plan and arrange for social events and guest programs.

Policies and Procedures

Develop policies and procedures and attend to other management responsibilities.

Event Logistics

Manage event logistics, including office and volunteer staff supervision.

Ability to pay close attention to detail and ensure accuracy in all aspects of event planning.

Ability to work under pressure and meet tight deadlines.

Fast-Paced Environment

Ability to thrive in a fast-paced environment with multiple tasks and responsibilities.

Overtime Required

Ability to work overtime as required to ensure the successful execution of events.

Work Term

Permanent position with a regular 35-hour workweek.

Work Language

English language proficiency required.
