Job Summary

We are seeking a highly organized and detail-oriented Service Coordinator to join our team at Overhead Door Corporation. As a Service Coordinator, you will play a vital role in ensuring the smooth operation of our service cycle, from scheduling and dispatching to follow-up and customer communication.

Key Responsibilities

  • Schedule and dispatch service calls with customers, ensuring timely and efficient service delivery.
  • Accurately complete and process work orders, including documentation and follow-up with customers and sales teams.
  • Ensure accurate billing and timely payment from customers, including collection of purchase orders or credit card information.
  • Open and close work orders in a timely manner, including sourcing materials and equipment.
  • Distribute necessary paperwork to technicians, parts departments, and warehouse personnel.
  • Dispatch and communicate with technicians for job information prior to and during service calls.
  • Regularly review and follow up on work orders and claims to obtain prompt payment.
  • Review technician time to ensure accuracy and submit to payroll in a timely manner.
  • Review and prepare work orders for final review by the Branch Office Supervisor, ensuring accuracy and highlighting potential discrepancies.
  • Process warranty work orders in accordance with company and manufacturer guidelines.
  • Ensure timely return of defective parts to manufacturers or suppliers.
  • Perform other duties as assigned by management.

Requirements

  • 3-5 years of experience in scheduling and dispatching field service.
  • Proficient in Microsoft Office Suite, including Excel and Outlook.
  • Superior resourcefulness, integrity, and work ethic.
  • Working knowledge of MS Outlook (including calendar) and Excel.
  • Strong ability to multitask and follow through with defined tasks.
  • Strong English language skills.
  • Minimum completed education – high school.
  • Possess a valid Driver's License and vehicle.
