We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the Health System Integration and Quality, Chief Nursing Officer (CNO) and Chief Medical Officer (CMO) at Shared Health.
Key Responsibilities- Provide administrative support to senior executives, including scheduling meetings, preparing correspondence, and maintaining calendars.
- Organize and prioritize independently, the secretarial/administrative activities for the CMO and CNO, ensuring all work is completed within established timeframes.
- Develop, maintain, and update various databases, including creating spreadsheets, data collection and entry, and assisting with analysis and organization of information.
- Review, evaluate, and recommend new office/administrative procedures for the portfolio in the interest of efficiency and quality of service.
- Prepare and maintain policies and procedures for the administrative activities in the portfolio.
- Five years' experience in a senior administrative position.
- Experience with email and computerized calendars.
- Experience in scheduling and coordinating meetings.
- Experience recording and preparing minutes and agendas.
- Previous healthcare experience would be an asset.
- Proficiency with computerized systems (Microsoft Word, Access, PowerPoint, and Excel) is essential.
- Typing speed 60 wpm.
- Demonstrated ability to organize, assign, and supervise the work of junior employees.
- Ability to compose correspondence on behalf of senior managers.
- Excellent communication skills, verbally and in writing.
- Ability to prioritize a large workload and independently complete a variety of administrative duties.
- Ability to work in a fast-paced corporate environment and work effectively under pressure to meet deadlines.
- Demonstrated problem-solving skills.
- Demonstrated ability to effectively contribute to a team environment.
- The ability to work independently and to establish and maintain good working relationships with administrative staff, healthcare agencies, and all levels of management.
- Ability to maintain a high level of confidentiality.
- Required to work for long periods of time at a computer.
