Overview

The Contracts Administration Specialist is essential in driving the expansion of our clientele while providing support to our sales and finance teams through effective contract and data oversight. In this role, you will be crucial in drafting, reviewing, and assessing contracts, as well as maintaining the accuracy and up-to-date status of our CRM records.

Key Responsibilities

  • Generate precise sales contracts for approval and distribution using approved templates.
  • Manage contract modifications, renewals, and terminations as required.
  • Ensure contracts adhere to company policies, legal standards, and industry regulations.
  • Act as a primary contact for inquiries and issues related to contracts.
  • Acquire knowledge of Quorum's Salesforce CRM system and associated workflows.
  • Guarantee that finalized contracts are accurately recorded in Salesforce CRM, capturing key terms and financial metrics, which are vital for revenue forecasting, budgeting, invoicing, project management, and software license generation.
  • Collaborate with internal teams, including legal, finance, sales, and operations, to facilitate contract execution and approvals.
  • Demonstrate proficiency with Salesforce (or similar CRM systems), showcasing the ability to navigate and utilize CRM functionalities effectively.
  • Exhibit exceptional accuracy, attention to detail, and the ability to multitask efficiently in a fast-paced work environment.
  • Previous experience in assessing legal terms within contracts is beneficial.
  • Strong time management skills to effectively allocate resources and prioritize tasks.
  • Excellent interpersonal skills to foster effective communication and collaboration with colleagues at all levels.
  • Proactive and innovative problem-solving skills, with the ability to think creatively.
  • Sound judgment and critical thinking abilities, demonstrated through informed decision-making in team settings.

  • Create sales orders from data entered in Salesforce CRM for accounting to process and submit accurate and timely invoices.
  • Identify opportunities to enhance contract management processes and boost efficiency.
  • Understand our data model and generate Salesforce reports.
  • Create software license records and manage licenses for all products and clients.
  • Perform additional duties as assigned.

Qualifications

  • A University Degree or relevant certification in Supply Chain Management or Business Administration.
  • Over 5 years of experience in a related field.
  • Familiarity with Salesforce or equivalent CRM is essential.
  • Proficiency in Microsoft applications including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational, verbal, and written communication skills are necessary.
  • Attention to detail and the ability to manage multiple tasks effectively.

Additional Information

  • Background Check: The successful candidate will need to complete various clearances, including Criminal History Check, Education Verification, Employment Verification, Driver's License Verification, and passport/ID validation.
  • Visa Sponsorship: Employment eligibility to work with Quorum Software in Canada is required, as the company will not pursue visa sponsorship for this position. The successful candidate must ensure they maintain and renew any visas or permits that grant employment eligibility where applicable.
