Under the supervision of the Chief Service Officer for Planning and Accountability, the incumbent is responsible for overseeing the management of the vehicle fleet, organizing workflows, and planning the execution of intricate administrative tasks through data collection and analysis. They provide essential support to both staff and executives regarding inquiries within their area of expertise. Additional duties may be assigned by their direct supervisor as necessary.
Key Responsibilities:
- Ensure the continuity of service in the absence of the immediate supervisor.
- Gather, analyze, and process specific statistical information.
- Adhere to various policies and directives.
- Design and implement various tracking forms or systems essential for the effective operation of their department; present these to their supervisor, execute them, and ensure proper distribution.
- Revise existing forms, ensuring their availability, distribution, and proper filing.
- Receive completed forms and verify compliance with management policies.
- Prepare files or information to facilitate team members' participation in committees and provide necessary follow-ups for specific requests.
- Conduct studies and analyses pertinent to assigned files and issues presented.
- Manage correspondence related to file administration.
- Process incoming mail, respond to calls, and address inquiries from employees or managers regarding relevant topics.
- Continuously update files in both paper and digital formats.
- Communicate with employees to provide relevant information related to file management and respond within their areas of competence.
- Perform any other related tasks as requested by their immediate supervisor.
Qualifications:
- College diploma specializing in administrative techniques, general administration, accounting and management, or office technology from an accredited institution.
- A minimum of two years of experience in a comparable role.
- Familiarity with hospital and pre-hospital emergency services in Quebec is an asset.
- Proficient in prioritizing tasks, managing multiple complex responsibilities, meeting tight deadlines, and performing under pressure.
- Strong analytical and synthesis skills, with a focus on quality and efficiency.
- Excellent organizational and planning abilities.
- Fluent in the French language.
- Competent in Microsoft Office applications (Excel, Word, Access - intermediate level).
- Strong interpersonal and communication skills.
- Demonstrates autonomy, initiative, and discretion.
- Ability to work collaboratively within a team.
- Exhibits a strong capacity for learning.
- Must pass proficiency tests in the Office suite (Word and Excel).
