POSITION SUMMARY:

The Finance Administration Coordinator plays a crucial role in supporting the financial operations of Gleaners Food Bank. Reporting directly to the Director of Operations, this full-time position involves collaboration with various stakeholders, including the Board of Directors and fundraising teams. Flexibility in working hours, including weekends and on-call duties, is required.

KEY RESPONSIBILITIES:

1. Financial Management:

  • Compile and present financial statements for the Board, working closely with the Treasurer.
  • Oversee the accounting software and donor management systems.
  • Handle invoice processing and payment disbursements.
  • Ensure accurate deposit of funds and processing of donations.
  • Reconcile monthly bank statements and maintain accurate tax records.
  • Prepare payroll information for external payroll services bi-weekly.
  • Assist in the preparation of annual budgets alongside the Director of Operations.

2. Fundraising Administration:

  • Support the financial and administrative components of fundraising initiatives.
  • Generate invoices for sponsorships and donations as needed.
  • Manage cash flow for fundraising events and prepare financial reports.
  • Assist in post-event evaluations to assess financial performance and gather insights.

3. Administrative Duties:

  • Document minutes for meetings and follow up on action items.
  • Manage office supplies and equipment procurement.
  • Attend relevant community events to represent Gleaners Food Bank.

QUALIFICATIONS:

  • Degree or diploma in Business Administration with a focus on Finance.
  • Minimum of three years of experience in financial management, preferably in a non-profit setting.
  • Strong proficiency in Microsoft Office and accounting software.
  • Excellent verbal and written communication skills.
  • Valid driver's license with a clean driving record.
  • Ability to work independently and manage multiple tasks effectively.

PHYSICAL REQUIREMENTS:

  • Capability to sit for extended periods.
  • Occasional need for intense concentration and mental engagement.
