Job Title: Assistant Property Manager

Triovest, a leading Canadian commercial real estate company, is seeking an experienced Assistant Property Manager to join our team in downtown Toronto. As a key member of our property management team, you will be responsible for providing exceptional support to our Property Manager and ensuring the smooth operation of our mixed-use office and retail complex.

Key Responsibilities:
  • Assist in managing Tenant Account Receivables and ensuring timely responses to Tenant Work Order System requests.
  • Respond to tenant escalations in a proactive and professional manner, fostering strong relationships with our clients.
  • Liaise with tenants on a regular basis to ensure their needs are met and exceeded, as part of our Tenant Engagement and Service Excellence programs.
  • Oversee the Tenant onboarding process, including the preparation and distribution of the New Tenant Welcome Package and Tenant restoration requirements.
  • Assist in the preparation and presentation of property reports, and client requests for information, ensuring accuracy and attention to detail.
  • Support the preparation of annual Operating and Capital budget, including reforecasting, and assist in the administration of capital projects.
  • Collaborate with the Operations team to maintain and implement new building programs, Tenant Engagement, Sustainability, Health and Wellness, Security and Life Safety, Building Certifications, and identify industry best practices.
  • Support property insurance reporting and administration, ensuring compliance with company policies and procedures.
  • Review and update the lease summary database, ensuring accuracy and completeness.
  • Assist tenants with responses to lease clause administration inquiries.
  • Oversee the external parking services contract, ensuring timely and efficient service delivery.
  • Complete monthly financial report reviews, reporting on budget variances and providing recommendations for improvement.
  • Establish and maintain strong working relationships with internal and external contacts, including tenants, contractors, clients, and industry associations.
Qualifications and Attributes:
  • A post-secondary education in a related discipline, such as real estate, business, or a related field.
  • Five (5) years' experience in property management administration and/or commercial/retail real estate, with a strong understanding of industry best practices.
  • Strong Microsoft Office skills, with experience using Yardi considered an asset.
  • Functional knowledge of various Social Media tools and best practices, with the ability to adapt to changing priorities in a fast-paced environment.
  • A strong sense of initiative and prioritization, with the ability to manage multiple requests simultaneously and adapt to changing priorities.
  • Well-developed written and oral communication skills, with the ability to communicate effectively with individuals at all levels of the organization.
  • A collaborative approach to problem-solving and relationship development, with the ability to work effectively in a team environment.
  • Exceptional client service orientation, with a passion for fostering an inclusive and positive organizational culture.
