Position Overview

The Executive Assistant and Office Coordinator will deliver extensive administrative assistance to senior management while supervising the daily operational activities of the organization. This position calls for a proactive individual with outstanding organizational abilities, meticulous attention to detail, and the capacity to juggle multiple responsibilities concurrently.

Key Responsibilities:

Executive Assistant Responsibilities:

  1. Provide administrative assistance to the Chief Executive Officer (CEO) and other Senior Leadership members, including managing calendars, scheduling appointments, and organizing travel arrangements.
  2. Draft and manage correspondence, reports, and presentations.
  3. Handle confidential information with utmost discretion and professionalism.
  4. Coordinate and facilitate the organization of corporate events and meetings as necessary.
  5. Serve as a liaison between the CEO and other staff or external partners.
  6. Manage daily personal tasks and errands for the CEO as required.

Office Coordination Responsibilities:

  1. Oversee and enhance daily operations to ensure efficiency and effectiveness.
  2. Develop and uphold current operational policies and procedures.
  3. Manage relationships with vendors, suppliers, and service providers.
  4. Supervise the current operations budget and financial planning, including expense tracking and reporting.
  5. Implement and maintain office systems and technologies to boost productivity.

Qualifications:

  1. Demonstrated experience as an Executive Assistant, Personal Assistant, or in a similar capacity.
  2. Prior experience in operations management or a related field.
  3. Exceptional organizational and multitasking capabilities.
  4. Strong proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  5. Excellent communication and interpersonal skills.
  6. Ability to manage sensitive information with confidentiality.
  7. Strong problem-solving skills and a proactive mindset.
  8. Bachelor's degree in Business Administration, Management, or a related field preferred.
