Job Summary

The Executive Assistant provides high-level support to the Chief Information and Technology Officer (CITO) at Hydro Ottawa. This role involves maintaining the CITO's schedule, coordinating with internal and external stakeholders, and providing administrative support for operations-related projects.

Key Responsibilities
  1. Administrative Support: Provide executive-level support to the CITO, including maintaining schedules, coordinating meetings, and managing correspondence.
  2. Project Coordination: Assist with the coordination of operations-related projects, including tracking tasks, prioritizing deadlines, and communicating with stakeholders.
  3. Communication and Liaison: Liaise with internal and external stakeholders, including the Board of Directors, Executive Management Team, and senior executives from other organizations.
  4. Document Management: Establish and maintain document management systems, including reviewing and editing documents, and ensuring accurate and timely filing.
  5. Procurement and Budgeting: Manage procurement for the division, including processing purchase requisitions, purchase orders, and invoices, and monitoring budget and work orders.
  6. Specialized Reporting: Prepare specialized reports and provide options/recommendations as required.
  7. Customer Service: Provide exceptional customer service, including responding to inquiries, resolving concerns, and escalating issues as necessary.
Requirements
  1. Education and Experience: Post-secondary education in a related field, preferably Office Administration, and several years of progressively responsible secretarial experience.
  2. Skills and Abilities: Strong computer skills, proficiency in office productivity and collaboration tools, and excellent communication and interpersonal skills.
  3. Language and Cultural Competence: English essential, both oral and written; Bilingual (English/French) considered an asset.
