Position Overview

The Field Service Management Lead is responsible for coordinating and enhancing the scheduling of field technicians. This role encompasses leading team discussions, monitoring job progress, managing fitting requests, confirming details and readiness, organizing logistics, following up on tasks, and ensuring effective communication with clients and internal departments.

This position necessitates independent travel, hands-on tasks, and working in demanding environments such as underground mining sites. Adhering to safety and quality standards while collaborating with teams for field support is crucial. The role requires adaptability between scheduling coordination and field technician duties as necessary.

Key ResponsibilitiesProactive Order Management
  1. Closely track fitting requests to ensure timely execution.
  2. Promptly communicate any challenges to relevant stakeholders to mitigate potential delays.
Order Confirmation and Technician Preparedness
  1. Verify order specifics, including locations, timelines, and technician qualifications.
  2. Ensure technicians have the required certifications and site access, addressing any inconsistencies proactively.
Job Preparation
  1. Utilize Trello for uploading field fitting jobs to facilitate effective preparation and tracking.
  2. Maintain and update Trello boards for real-time task management and visibility.
On-site Technical Responsibilities
  1. Assist in the installation, maintenance, and inspection of diesel exhaust systems and thermal blankets for heavy machinery.
  2. Execute field tasks, applying expertise in diesel exhaust systems, welding, electrical work, and compliance with safety and quality protocols.
  3. Perform field fitting jobs as required.
  4. Engage with customers on-site and resolve technical issues.
  5. Ensure adherence to safety standards and quality assurance during field operations.
  6. Travel independently to various locations, including challenging environments.
  7. Collaborate with relevant teams to ensure smooth field operations.
Logistical Coordination
  1. Arrange necessary logistics to facilitate field technicians' access, including travel tickets, accommodations, vehicle rentals, insurance, and certifications.
Pre- and Post-Installation Follow-up
  1. Share images and measurements collected by field technicians with Pricing and Engineering teams, updating Trello as needed.
  2. Conduct follow-ups with field technicians after job completion, documenting any issues in Trello.
  3. Coordinate meetings with engineering, production, quality, and sales teams to address identified challenges.
Client Communication
  1. Promptly communicate resolutions to clients, ensuring their satisfaction with completed tasks.
Conduct Weekly Team Meetings
  1. Lead weekly discussions to align the field technician team, review ongoing projects, and tackle any challenges.
Schedule Management and Reporting
  1. Keep the scheduling board updated with real-time order additions throughout the week.
  2. Report any order delays to the Inside Sales and Customer Service teams promptly.
  3. Provide Estimated Time of Arrival (ETA) updates to relevant teams.
Continuous Improvement
  1. Actively contribute to the development and maintenance of new systems as required.
QualificationsEducation and Experience
  1. High school diploma or equivalent is required.
  2. Demonstrated experience in scheduling and coordination within a technical or mechanical environment.
  3. Prior experience as a Field Technician is preferred.
  4. Strong organizational and multitasking abilities with a keen attention to detail.
Skills
  1. Proficient in project management tools, particularly Trello or similar platforms.
  2. Exceptional communication skills, both written and verbal.
  3. Ability to lead and facilitate productive team meetings.
  4. Strong problem-solving and decision-making capabilities.
  5. Familiarity with logistics coordination for field operations.
  6. Technical knowledge in diesel exhaust systems, welding, and electrical work.
  7. Commitment to safety protocols and quality standards.
  8. Willingness to travel independently to various locations, including challenging environments.
  9. Flexibility to transition between scheduling coordination and field technician responsibilities.
Physical and Non-Physical Requirements
  1. Mobility: Ability to navigate the office, visit clients, attend meetings, and conduct site visits as needed.
  2. Manual Dexterity: Basic manual skills for operating office equipment and performing technical tasks.
  3. Stamina: Capability to manage the physical demands of fieldwork, including lifting and carrying equipment.
  4. Visual and Auditory Acuity: Good vision and hearing for inspections and effective communication.
  5. Organizational Skills: Strong ability to manage multiple tasks and projects efficiently.
  6. Problem-Solving Abilities: Proactive in identifying and resolving issues to minimize delays.
  7. Attention to Detail: Meticulous in maintaining accurate records and verifying order details.
  8. Adaptability: Flexibility to switch between office-based tasks and hands-on field duties.
