Graduate Program Administrative Coordinator

The University of Saskatchewan's School of Rehabilitation Science is dedicated to delivering a Master of Physical Therapy program. This role is essential in facilitating all facets of graduate student involvement, from the initial application process to the successful completion of their studies.

Primary Responsibilities: This position is tasked with providing comprehensive administrative and clerical support for the school, with a primary focus on the following areas: admissions, recruitment, academic operations, student registration, maintenance of student records and grades, and credentialing processes.

Job Overview: Reporting directly to the MPT Program Coordinator, this role collaborates closely with the Director, fellow support staff, and faculty members. The coordinator serves as the first point of contact for prospective students and offers assistance to both incoming and current students. There is potential for a hybrid work arrangement.

Key Duties and Responsibilities:

Admissions Management

Serve as the initial contact for prospective students, ensuring prompt and accurate responses to inquiries received through the admissions email. Provide guidance to students and other stakeholders regarding admission criteria and the application process. Oversee the processing of admission applications, including calculating admission averages and managing all aspects of graduate admissions using relevant systems. Collaborate with graduate credentials to verify the accuracy of admission average calculations. Monitor the application process and provide updates on individual applications and related policies. Support the Admissions Committee by preparing meeting agendas and documenting minutes. Compile, maintain, and disseminate data and reports pertinent to the admissions processes. Liaise with the College of Graduate and Postdoctoral Studies and other university departments regarding admissions matters. Ensure that web-based information relevant to the School is regularly reviewed and updated. Assist in student recruitment initiatives related to admissions.

Academic Operations Support

Provide assistance to the Academic Affairs Committee as required. Ensure compliance with all academic processes, including the submission of final grades and grade adjustments. Maintain comprehensive student files, track grades, and monitor student registration, addressing any registration issues as they arise. Act as the designated graduate administrator for the Master of Physical Therapy program. Handle administrative tasks related to convocation ceremonies.

Administrative Functions

Address requests related to credentialing and licensing for physical therapy graduates, coordinating the preparation of necessary documentation. Manage the course building process for the MPT program. Assist with revisions to school documents concerning admissions, academic affairs, and recruitment. Collaborate with Student and Enrolment Services and the College of Graduate and Postdoctoral Studies. Work with relevant parties to accommodate student leaves and absences. Provide support to other clerical staff as needed. Participate in special projects as required. Review and update policies and guidelines for the School.

Qualifications: A minimum of a Grade 12 diploma and completion of a post-secondary administrative assistant program is required.

Experience:

At least 5 years of experience in a university environment. Familiarity with university admissions and student information systems is essential. Experience in a diverse and inclusive setting is necessary. Background in supporting academic affairs is advantageous.

Skills:

Strong communication skills, both verbal and written. Proficiency in Microsoft Office Suite, including advanced features. Experience with university-specific software applications is required. Excellent interpersonal skills with the ability to engage effectively with various stakeholders. Capacity to handle sensitive interactions with discretion and cultural awareness. Strong problem-solving abilities and the capacity to make independent decisions. Self-motivated with the ability to work independently and collaboratively. Exceptional organizational skills and the ability to meet deadlines. Experience in producing meeting agendas and taking minutes.
