Graduate Program Administrative Coordinator

The University of Saskatchewan's School of Rehabilitation Science is seeking a dedicated individual to assist in the management of its Master of Physical Therapy program. This role is pivotal in fostering graduate student engagement throughout their academic journey, from the initial application phase to program completion.

Primary Responsibilities: This position is tasked with delivering comprehensive administrative and clerical support to the school, with a focus on key areas such as admissions, recruitment, academic administration, student registration, record-keeping, and credential verification.

Nature of Work: Reporting directly to the MPT Program Coordinator, the successful candidate will collaborate closely with the Director, fellow support staff, and faculty members. As the first point of contact for prospective students, this role provides essential support to both incoming and current students. The position may offer a hybrid work arrangement.

Key Duties and Responsibilities:

Admissions

Serve as the primary contact for prospective students, ensuring prompt and accurate responses to inquiries received through the admissions communication channels. Provide guidance to students and stakeholders regarding admission criteria and the application process. Process applications for admission, including calculating admission averages and managing all facets of graduate admissions using relevant systems. Collaborate with graduate credentials to verify the accuracy of admission average calculations. Oversee the application process, addressing individual applications and policy-related matters. Support the Admissions Committee by preparing meeting agendas and documenting minutes. Compile, maintain, and disseminate data and reports pertinent to the admissions process. Liaise with the College of Graduate and Postdoctoral Studies and other educational institutions on admissions-related issues. Work with relevant departments to ensure that online information related to the School is regularly reviewed and updated. Assist in student recruitment initiatives related to admissions.

Academic Administration

Provide necessary support for the Academic Affairs Committee. Ensure compliance with all academic processes, including the entry and submission of final grades. Maintain student files, monitor registration, and address any registration issues. Act as the designated graduate administrator for the Master of Physical Therapy program. Handle administrative tasks related to convocation.

Administrative Support

Respond to requests from physical therapy graduates regarding credentialing and licensing, coordinating the preparation of necessary documentation. Manage the course building process for the MPT program. Assist with revisions to School documents related to admissions and academic affairs. Collaborate with Student and Enrolment Services and the College of Graduate and Postdoctoral Studies. Work with relevant parties to facilitate student leaves and absences. Provide support to other clerical staff as needed. Participate in special projects as required. Review and update policies and guidelines for the School.

Qualifications: A minimum of a Grade 12 diploma and completion of a post-secondary administrative assistant program.

Experience:

At least 5 years of experience in a university environment. Familiarity with university admissions and student information systems is essential. Experience in a diverse and inclusive setting is required. Support for academic affairs is considered an asset.

Skills:

Strong communication skills, both oral and written. Proficiency in Microsoft Office Suite, including advanced functions. Experience with university-based computer applications is required. Excellent interpersonal skills and the ability to engage effectively with various stakeholders. Ability to manage interactions with discretion and cultural sensitivity. Strong problem-solving skills and the capacity to make independent decisions. Self-motivated with the ability to work independently and collaboratively. Exceptional organizational skills and the ability to meet deadlines. Experience in producing agendas and taking minutes.
