Job Summary:

Totem Recruiter is seeking a highly organized and detail-oriented Administrative Assistant/Receptionist to join our dynamic team. As an Administrative Assistant/Receptionist, you will be responsible for providing exceptional customer service, managing front desk operations, and performing administrative tasks to support the team.

Key Responsibilities:

  • Front Desk Operations:
    • Welcoming clients and managing the waiting area
    • Answering phone calls and responding to emails
    • Scheduling appointments and managing calendars
    • Providing information and answering questions
    • Managing files, organizing, digitizing, and archiving documents
    • Coordinating with team members
    • Explaining procedures to clients
  • Administrative Tasks:
    • Entering data, producing daily reports
    • Managing cash transactions
    • Filling out various documents and declarations for clients
    • Managing inventory and ordering supplies
    • Maintaining a clean and organized workspace
    • Occasionally organizing special events
  • Requirements:
    • 4-5 years of experience in a similar role
    • DEP in Secretariat/Administration or equivalent
    • Good functional English
    • Strong organizational skills, autonomy, and versatility
    • Excellent customer service skills
    • Available, flexible, and empathetic person
    • Excellent mastery of Ms Office and computer skills in general
