Your Impact

As an essential member of our organization, you will foster a welcoming and positive atmosphere for our clients, ensuring effective communication and problem resolution. You will collaborate with a network of innovative hearing care specialists who positively influence the daily lives of those we serve.

Reporting to the Regional Manager, the Client Support Specialist is the primary contact for our clients, responsible for delivering exceptional client service and administrative assistance.

Key Responsibilities

Client Engagement

  • Welcoming clients upon arrival
  • Managing incoming calls
  • Coordinating client appointments and clinician schedules
  • Reaching out to existing clients to arrange appointments
  • Adhering to established protocols for telephone performance.

Clinic Maintenance

  • Ensuring the clinic's overall appearance is maintained
  • Conducting daily cleaning and organization as required
  • Arranging Assistive Listening Device (ALD) displays and waiting areas
  • Managing inventory and ordering office supplies

Support for Hearing Professionals

  • Providing administrative assistance to clinicians
  • Opening and closing the Hearing Healthcare Centre
  • Registering new clients and maintaining their records
  • Handling shipping and receiving tasks
  • Preparing orders for fittings
  • Understanding and applying current promotions
  • Offering basic maintenance for hearing aids

Financial and Insurance Support

  • Processing sales transactions and tracking outstanding balances
  • Assisting clients with estimates
  • Managing and reporting cash float
  • Completing daily sales reconciliations
  • Understanding and submitting third-party insurance claims
Qualifications
  • Post-secondary education in a relevant field
  • A minimum of 2 years of experience in customer service
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities
