Position Overview

As an Office Coordinator at Pixsenses Inc, you will play a crucial role in ensuring the smooth operation of our office environment. This is a permanent position that requires a bilingual professional who can effectively manage various administrative tasks.

Key Responsibilities
  • Organize and coordinate seminars, conferences, and other events.
  • Facilitate the activities of the Human Resources department to align with organizational objectives.
  • Manage the flow of information within the team to enhance communication.
  • Oversee daily operations and ensure efficiency.
  • Handle incoming mail and distribute materials appropriately.
  • Plan and monitor budget and expenditures.
  • Organize daily operations and ensure tasks are completed effectively.
  • Train and mentor new staff members.
  • Document and prepare minutes for meetings and conferences.
  • Establish and maintain office procedures and routines.
  • Develop and implement recruitment strategies.
  • Schedule and confirm appointments for team members.
  • Manage contracts and agreements.
  • Answer phone calls and relay messages accurately.
  • Respond to electronic inquiries in a timely manner.
  • Provide advice and support to senior management.
  • Order and maintain office supplies and inventory.
  • Oversee payroll processes.
  • Arrange travel itineraries and make necessary reservations.
  • Welcome visitors and direct them to the appropriate contacts.
  • Set up and maintain both manual and digital filing systems.
  • Type and proofread various documents and correspondence.
  • Perform data entry tasks as required.
  • Conduct basic bookkeeping activities.
  • Supervise office staff and volunteers.
Technical Skills
  • Proficient in Google Docs, MS Excel, MS PowerPoint, MS Word, QuickBooks, Google Drive, and electronic mail.
