Position Overview:

We are seeking a dedicated Administrative Support Specialist to enhance our operational efficiency within the organization. This role is essential for maintaining effective communication and coordination among team members.

Key Responsibilities:

  • Organize and facilitate seminars, conferences, and other events.
  • Manage the flow of information within the team to ensure seamless operations.
  • Document and prepare minutes for meetings, seminars, and conferences.
  • Establish and implement office procedures and routines.
  • Schedule and confirm appointments efficiently.
  • Handle telephone communications and relay messages accurately.
  • Respond to electronic inquiries in a timely manner.
  • Procure office supplies and oversee inventory management.
  • Coordinate travel arrangements, including itineraries and reservations.
  • Welcome visitors and direct them to appropriate contacts or service areas.
  • Set up and maintain both manual and computerized filing systems.

Qualifications:

  • Education: Completion of a college, CEGEP, or other non-university certificate or diploma program of 1 to 2 years, or equivalent experience.
  • Experience: A minimum of 1 year and less than 2 years in a similar role.

Technical Skills:

  • Proficient in Google Docs, MS Outlook, electronic scheduling tools, MS Office, and electronic mail.
  • Familiarity with business terminology and practices.

Work Environment:

  • Ability to work independently in a fast-paced environment.
  • Capable of managing multiple tasks under pressure and meeting tight deadlines.
  • Attention to detail and ability to work with minimal supervision.
