Role Overview

CT Real Estate is dedicated to managing the comprehensive real estate lifecycle for a vast array of retail and corporate locations throughout Canada. Within our organization, the Occupancy Cost Administration team plays a crucial role in overseeing, analyzing, and reporting on occupancy expenses and revenues associated with our extensive portfolio of leased and owned properties. The Occupancy Cost Administrator, reporting to the National Portfolio Manager, will focus on reducing occupancy expenses through meticulous audits of landlord reconciliations and evaluations of rental notices, while also enhancing tenant income opportunities.

  • Conduct thorough reviews and audits of landlord year-end reconciliations to ensure that charges are justified and align with lease agreements, addressing any discrepancies with landlords as necessary.
  • Analyze and process annual Rental Advice Notices (RAN) received from landlords.
  • Evaluate the Monthly Rent Variance report and provide insights on significant month-over-month rent fluctuations.
  • Keep track of and prioritize the processing of outstanding reconciliations and RANs.
  • Address inquiries related to landlord payments.
  • Maintain and utilize the Lucernex contracts module while ensuring a centralized filing system is in place.
  • Where applicable, handle Tenant RAN and REC billings to optimize Tenant Income within the portfolio.
  • Undertake additional responsibilities and special projects as required.

Qualifications

  • A minimum of 2 years of experience in a lease administration or occupancy cost auditing role, with preference given to candidates who have experience in a retail environment.
  • Post-secondary education in a relevant field or equivalent experience. An accounting designation or accredited commercial real estate designation is considered an asset.
  • Demonstrated ability to interpret lease agreements and analyze occupancy cost statements effectively.
  • Excellent verbal and written communication skills, with a proven ability to build and maintain strong relationships with landlords and internal stakeholders. Bilingual proficiency in English and French is a plus.
  • Proficient in MS Office applications, lease administration systems, and financial software. Familiarity with Lucernex Contracts module and Peoplesoft financials is advantageous.
  • Strong problem-solving capabilities.
  • Exceptional organizational and planning skills, with the ability to manage multiple tasks and adapt to changing priorities.
  • Proven initiative, sound judgment, resourcefulness, and creativity, with an ability to anticipate departmental needs.
  • Capacity to handle sensitive information with discretion and maintain confidentiality.
