Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Third Power Training Inc.

Job Summary:

The Administrative Assistant will provide administrative support to our team, ensuring the smooth operation of our daily activities. This role will involve coordinating seminars, conferences, and other events, as well as managing the activities of the HR department to ensure they meet our organization's goals.

Key Responsibilities:
  • Coordinate seminars, conferences, and other events
  • Manage the activities of the HR department
  • Direct staff and evaluate daily operations
  • Motivate staff and plan daily operations
  • Record and prepare minutes of meetings, seminars, and conferences
  • Determine and establish office procedures and routines
  • Plan, develop, and implement recruitment strategies
  • Schedule and confirm appointments
  • Manage contracts and answer telephone calls and messages
  • Oversee the analysis of employee data and information
  • Answer electronic enquiries and compile data, statistics, and other information
  • Respond to employee questions and complaints
  • Order office supplies and maintain inventory
  • Liaise with management, union officials, and HR consultants
  • Oversee payroll administration and arrange travel
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms, and other documents
  • Conduct research and perform data entry
  • Provide customer service and perform basic bookkeeping tasks
Requirements:
  • 3 years to less than 5 years of experience
  • Ability to work independently and under pressure
  • Fast-paced environment and tight deadlines
  • Attention to detail and ability to multitask
  • Flexibility and adaptability
  • Organized and reliable with excellent time management skills

Work Environment:

Our office is a fast-paced environment with a large workload. The successful candidate will be able to work independently and under pressure, with minimal supervision.
