Position Overview

Under the supervision of the clinical manager and in alignment with organizational policies, the Case Management Coordinator plays a crucial role in overseeing complaint documentation and collaborating with various stakeholders within the complaints division.

Key Responsibilities

The responsibilities of this role encompass, but are not limited to, the following:

Management of Complaint Documentation
  • Serve as a point of contact among all parties involved in each complaint.
  • Initiate, maintain, and archive complaint records.
  • Distribute standard correspondence to complainants and relevant medical professionals.
  • Conduct acknowledgment calls to complainants and registrants involved.
  • Oversee the tracking system and send out standard letters as needed.
  • Evaluate complaint materials for potential risks and escalate issues as required.
  • Ensure complaint files are thorough, consistent, and accurate, including necessary redactions of personal data.
  • Monitor follow-up actions resulting from case resolutions.
  • Document and file committee meeting minutes.
Administrative Support for the Complaints Division
  • Compose correspondence and various reports or documents.
  • Participate in interviews with medical professionals and regulatory representatives.
  • Take clear and organized notes during interviews.
  • Address telephone inquiries from medical professionals and the public regarding the complaint process.
  • Assist in preparing materials for committee meetings as necessary.
  • Digitally archive complaint documentation.
  • Perform additional administrative tasks as required.
Qualifications and Skills

Essential qualifications and skills include:

  • Completion of secondary education complemented by a two-year diploma in office administration or an equivalent combination of education and experience; post-secondary education is a plus.
  • Proven ability to operate effectively under pressure and engage with diverse individuals in sensitive situations.
  • Strong interpersonal skills to facilitate resolution in complex scenarios.
  • Understanding of professional regulatory frameworks is advantageous.
  • Experience in healthcare or familiarity with medical terminology is preferred.
  • Proficient in Microsoft Office Suite, including Word, Outlook, Excel, and Teams.
  • Ability to prioritize tasks and manage workload efficiently.
  • Capability to work independently as well as collaboratively within a team.
  • Maintain composure during high-pressure situations.
  • Exercise sound judgment in recognizing authority limits and safeguarding confidential information.
  • Exceptional critical thinking, analytical, and problem-solving abilities.
  • High attention to detail with the capacity to manage multiple tasks in a dynamic environment.
  • Strong written and verbal communication skills.
  • Excellent editing and proofreading capabilities.
  • Previous experience interacting with patients or the public is beneficial.

Compensation: The salary range for this position is between $48,278 and $60,347 annually.
