Position: Administrative Assistant III

Role Overview

The Administrative Assistant III plays a crucial role in delivering high-quality administrative and organizational support to the Orthopaedic Division and its surgeons. This position encompasses a variety of responsibilities, including:

  • Managing files and utilizing Outlook for coordinating surgeons' schedules.
  • Scheduling patient surgeries and liaising with families, departments, hospitals, and agencies.
  • Maintaining effective communication within the team and proactively addressing potential issues.
  • Creating and overseeing the clinic's master schedule for the Orthopaedic Care Team.
  • Arranging travel logistics and managing expense recovery as needed.
  • Participating in meetings, documenting minutes, and distributing them accordingly.
  • Handling correspondence and records for computerized medical billing.
  • Providing support for academic and research activities, including literature searches.
  • Managing office supply inventory and placing orders as necessary.
  • Contributing to discussions aimed at enhancing clinic efficiency and operations.
  • Preparing requisitions for purchases and managing petty cash.
  • Performing dictation, word processing, and database management tasks.
  • Generating and monitoring performance indicators as required.
  • Establishing and maintaining an organized office filing system, including processing mail.
Work Schedule

Standard hours are Monday to Friday, with 8-hour shifts.

Qualifications

To be considered for this role, candidates should possess:

  • A minimum of a High School Diploma or G.E.D.
  • Graduation from a recognized medical office administration diploma program.
  • At least two years of relevant administrative experience, preferably in a healthcare setting.
  • Proficiency in Windows, MS Office, Adobe Professional, Outlook, and medical database programs.
  • Keyboarding skills of at least 60 words per minute.
  • Successful completion of a medical terminology course.
  • Strong time management, analytical, and problem-solving abilities.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to work independently with minimal supervision.
  • Attention to detail and a commitment to quality and accuracy.
  • Experience with computerized medical billing applications is preferred.
  • Familiarity with Community Wide Scheduling (CWS) and surgical booking is an asset.
  • Competency in additional languages is advantageous; French is preferred.

This position is part of the Admin Professionals bargaining unit, and preference will be given to current bargaining unit employees for unionized roles. Successful candidates will be required to provide a criminal record check and proof of relevant education and registration as a condition of employment.
