About the Role

We are seeking a highly motivated and experienced Mortgage Specialist Associate to join our team at BMO. As a key member of our mortgage sales and service team, you will be responsible for cultivating and building relationships with a referral network to drive new mortgage business and increase BMO's market share.

Key Responsibilities
  • Identify and pursue sales opportunities, referring to BMO colleagues as necessary to facilitate smooth fulfillment and ensure documentation meets stipulated terms and conditions.
  • Monitor approved home financing applications to coordinate collection of all required documentation, ensuring timely and accurate processing.
  • Collaborate with BMO colleagues to discuss any terms and conditions where documentation is unacceptable or to obtain missing documentation.
  • Provide administrative support by maintaining a database of third-party referral sources and customers, including development and maintenance of a marketing calendar.
  • Ensure third-party referral sources are kept informed of the latest BMO offers and news, including preparing and sending updated rate sheets.
  • Support the Mortgage Specialist in maintaining positive and ongoing contact with their broader referral network, providing marketing, event coordination, and general administrative support.
  • Complete pre- and post-sales activities that support business and market share growth, understanding customer needs to offer financial solutions that meet customer goals.
  • Receive and fulfill approved home and/or investment financing applications, providing accurate and efficient credit and administrative support.
  • Monitor home financing applications to advise BMO colleagues of any issues that might impede turnaround time and/or approval.
  • Deliver exceptional customer service, building trust through expertise, responsive service, and support.
  • Resolve or escalate issues to meet customer expectations and ensure funds are advanced in a timely manner.
  • Provide customers with friendly, courteous, and professional service in response to queries and requests, identifying client needs for banking products and referring to appropriate BMO partners.
  • Stay abreast of consumer needs, industry trends, best practices, and regulatory requirements for mortgage products and services.
  • Address customer service issues according to established parameters, escalating persistent or complex matters to more senior staff or other departments for resolution.
  • Coordinate and execute specific activities for the implementation of strategic initiatives, including tracking metrics and milestones.
  • Liaise with various BMO teams and customers to ensure satisfactory completion and/or fulfillment of the home financing application.
  • Document updates in BMO's internal systems to ensure employees have access to the status of outstanding customer opportunities, transactions, and problems/issues.
  • Analyze data and information to provide insights and recommendations.
  • Gather and format data into regular and ad-hoc reports and dashboards.
  • Execute routine tasks within relevant service level agreements.
  • Organize work information to ensure accuracy and completeness.
  • Engage with referral networks to create strong relationships that generate referrals and mortgage originations for clients requiring real estate lending solutions.
  • Complete all necessary transactions in compliance with guidelines and other requirements to maintain operational integrity.
  • Complete complex and diverse tasks within given rules/limits.
  • Analyze issues and determine next steps, escalating as required.
Qualifications
  • Typically between 1-2 years of relevant experience and/or certification in a related field of study, or an equivalent combination of education and experience.
  • Working knowledge of personal lending and mortgage products and services.
  • Relationship Management skills - Good.
