Office Support Specialist

Our client is in search of an Office Support Specialist to enhance their operations. This position demands meticulous attention to detail and a strong organizational mindset. The ideal candidate will exhibit a robust work ethic while being polite and dependable.

Key Responsibilities:
  • Execute electronic filing by scanning documents and categorizing them within the company’s digital document management system.
  • Manage incoming communications, including phone calls, deliveries, and mail.
  • Draft and format various documents such as memos, letters, and agreements.
  • Organize both manual and electronic filing of correspondence, contracts, and agreements, ensuring easy retrieval.
  • Prepare invoices for payables and receivables, along with other administrative duties to support the team.
  • Oversee the maintenance and procurement of office supplies.
  • Provide assistance in additional accounting tasks as necessary.
Qualifications:
  • Minimum of 3 years of experience in reception or office administration.
  • Familiarity with a paperless filing system.
  • Ability to thrive in a professional small office setting.
  • Excellent interpersonal and communication skills.
  • Detail-oriented, adaptable, and supportive of all team members.
  • Experience with QuickBooks.
  • Proficient in MS Word and Excel.
  • Capability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
