Job Summary

The Administrative Assistant will provide high-level administrative support to the General Manager and Fulfillment Center Operations team. This role requires a highly organized and detail-oriented individual with excellent communication skills and the ability to handle confidential information.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the General Manager and Operations team, including managing schedules, planning events, coordinating meetings and conferences, and maintaining conference room calendars.
  • Expense Reporting: Manage and complete expense reports for the General Manager, Senior Leaders, and self as needed.
  • Office Management: Conduct clerical duties, including filing, full office management, responding to emails, preparing documents and presentations, and typing meeting notes.
  • Travel Coordination: Schedule cost-effective travel arrangements for the General Manager and Senior Leaders as needed.
  • Internal Communications: Assist with internal communications for associates and leadership among multiple platforms, interfaces, and programs.
  • Vendor Coordination: Work with outside vendors to coordinate upkeep and maintenance of the Fulfillment Center.
  • Errands and Tasks: Run work-related errands as needed and think and plan ahead to manage time effectively.
  • Team Support: Compile team goals, track and help drive completion of key deliverables, and follow up on outstanding items.
  • Calendar Management: Manage complex calendars and scheduling with diplomacy and discretion.
  • Team Collaboration: Coordinate closely with Workforce Management, Recruiting, Maintenance, Human Resources, and other teams within the Fulfillment Center.
  • Representative Role: Serve as a representative on department team-building activities and peer recognition.
Requirements
  • Experience: 2+ years of professional or military experience.
  • Skills: Experience with Microsoft Office products and applications, strong analytical skills, excellent written and verbal communication skills, ability to learn organizational structure and objectives, strong organizational and communication skills, and problem-solving skills.
  • Education: Associate's or Bachelor's Degree.
