About Our Opportunity

As a Legal Services Technician 1-2, you will operate under the general guidance of the Legal Services Supervisor, delivering high-quality, specialized legal administrative support and file management assistance to multiple lawyers. Your role will leverage your strong administrative skills, familiarity with legal terminology, and specialized procedures relevant to various legal fields. You will be expected to perform efficiently under tight deadlines in a highly confidential environment with minimal oversight.

Your responsibilities will include the creation, tracking, and management of litigation files. The position demands adaptability to changing priorities, balancing legal assistance with administrative duties, and responding promptly to inquiries while maintaining organized file management.

Primary Responsibilities

Legal Assistance / Support to Lawyers

  • Provide specialized legal support to lawyers offering legal advice and litigation services to government entities and various boards and commissions.
  • Ensure timely preparation, filing, and service of documents as directed by lawyers.
  • Research and retrieve legal case law, precedents, and other pertinent information as requested by lawyers.

Secretarial / Administrative Support

  • Draft correspondence, presentations, and legal and non-legal documents.
  • Address inquiries from internal and external clients as well as the public.
  • Manage lawyers' calendars, schedule appointments, and coordinate logistics for meetings, including booking rooms and travel arrangements.
  • Collaborate within a team environment, providing support to colleagues as assigned by the Legal Services Supervisor.

Responding to Inquiries and File Management

  • Act as a liaison to ensure clients receive necessary information, including updates on files and procedural changes.
  • Oversee file management within the Central Registry filing system and electronic directories.
  • Organize both hard copy and electronic files, ensuring accurate filing and data entry.
  • Maintain up-to-date files for review by lawyers as needed.
Qualifications and Experience

The ideal candidate will hold a certificate or diploma from a Legal Assistant or Paralegal program. You should possess experience in an automated environment, demonstrating proficient typing, dicta typing, and data entry skills. A solid understanding of legal terminology, procedures, and documentation is essential, along with excellent research, analytical, and organizational abilities. Strong communication skills, both written and verbal, are necessary for effective interaction with clients, lawyers, and colleagues while maintaining confidentiality.

Assets include:

  • Familiarity with various court levels.
  • Understanding of Civil Procedure Rules.
  • Knowledge of provincial government departments and agencies.
  • Experience with file management systems such as STAR/STOR.

We will evaluate the above qualifications through various assessment methods, including written examinations, standardized tests, interviews, and reference checks.

Working Conditions
  • Standard work week consists of 35 hours, with 7 hours per day.
  • Overtime may be required occasionally.

  • Regular reading and analysis of information, with significant time spent on a computer.
  • Must manage multiple priorities while ensuring accuracy and attention to detail in legal document preparation.

Pay Grade: TE 13 - TE 19

Salary Range: $1, $2,273.69 Bi-Weekly
