About Our Opportunity

Under the general oversight of the Legal Services Supervisor, the Legal Administrative Specialist 1-2 will deliver high-quality, specialized legal administrative support and file management assistance under the guidance of multiple attorneys. This role demands strong administrative skills, a solid understanding of legal terminology, and familiarity with specific legal procedures. The position requires the ability to perform efficiently under tight deadlines in a highly confidential environment with minimal supervision.

Responsibilities include the creation, tracking, and management of litigation files. The successful candidate must adapt to changing priorities, effectively balance legal assistance with administrative duties, respond promptly to inquiries, and maintain organized file management on a daily basis.

Primary Responsibilities

Legal Assistance / Support to Attorneys

Provide specialized legal support to attorneys offering legal counsel and litigation services to government entities and various agencies, boards, and commissions. Ensure that documents assigned by attorneys are prepared, filed, and/or served within designated deadlines. Research and retrieve legal case law, precedent materials, or other pertinent information as requested by attorneys.

Administrative Support

Draft correspondence, presentations, and documents related to both legal and non-legal matters. Address inquiries from internal and external clients as well as the public. Organize appointments, manage attorneys' calendars, and coordinate bookings for rooms, court reporters, travel, depositions, witnesses, interpreters, and case conferences. Arrange travel and accommodations as necessary. Collaborate within a team environment, providing support to colleagues as assigned by the Legal Services Supervisor.

Inquiry Response and File Management

Serve as a point of contact to ensure clients receive accurate information, including file updates, procedural changes, and Division announcements. Manage files within the Central Registry filing system, electronic shared directories, and document management databases. Organize both hard copy and electronic files, including document filing, data entry, and utilizing the STAR/STOR classification system. Ensure that files are current and prepared for review by attorneys as required.

Qualifications and Experience

The ideal candidate will possess a certificate or diploma from a Legal Assistant or Paralegal program.

Experience in an automated environment is essential, with proficient typing, dicta typing, MS Word, and data entry skills. A solid understanding of legal terminology, procedures, and documentation is required, along with excellent research, analytical, and organizational abilities. Strong communication skills, both written and verbal, are necessary to interact effectively with clients, attorneys, and colleagues while maintaining confidentiality and impartiality.

Preferred qualifications include:

Familiarity with various levels of Court. Understanding of Civil Procedure Rules. Knowledge of provincial government departments and agencies. Experience with the STAR/STOR record classification system or other file management systems.

The evaluation of qualifications may involve written assessments, standardized tests, oral presentations, interviews, and reference checks.

Equivalency

Working Conditions

Occasional overtime may be required. Typically situated in a comfortable office environment. Significant periods of time spent sitting at a desk, with movement to and from printers, file storage areas, or for mail handling. May require bending and lifting of file boxes from storage and transporting them to review areas. Regular need to read and analyze information, with considerable time spent focusing on a computer monitor. Must manage multiple priorities, with a strong emphasis on accuracy and attention to detail in legal document preparation, which may lead to physical and mental stress. The work environment may involve interactions with individuals who are verbally abusive or physically threatening, and exposure to disturbing content in some files may occur.
