POSITION:

Reporting to the designated supervisor, the Administrative Support Specialist functions as a vital member of a multidisciplinary team, executing a range of reception and administrative tasks to enhance the operations of the Research and Innovation Centre.

KEY RESPONSIBILITIES:

Handles reception duties and various clerical tasks, including managing phone calls, addressing inquiries, retrieving client/patient files, welcoming clients/patients, generating daily and/or monthly schedules, and directing complex issues to the appropriate personnel. Maintains comprehensive records by performing tasks such as data entry, compiling information, and tracking client/patient statistics related to attendance, treatment types, cancellations, and waitlist details. Ensures follow-up with relevant team members as needed. Prepares and disseminates various documents, including correspondence and reports, utilizing a range of computerized word processing and spreadsheet software, ensuring stylistic consistency and grammatical accuracy. Provides administrative assistance to the department through tasks such as organizing files, managing paperwork, handling mail, faxing, photocopying, circulating documents, and ordering standard office supplies by completing requisition forms for approval. Undertakes additional related responsibilities as assigned.

REQUIRED QUALIFICATIONS:

Education and Experience: Completion of Grade 12, along with an Office Administration Certificate, complemented by one (1) year of recent relevant experience or an equivalent combination of training and experience. Familiarity with Medical Terminology. Proven proficiency in using word processing software programs (Outlook, Word, Excel).

Knowledge and Skills:

Capability to effectively utilize a computerized client care information system. Strong verbal and written communication skills. Ability to build and maintain rapport with clients. Competence in organizing workload and setting priorities. Problem-solving skills and initiative. Capacity to work under pressure with interruptions and adapt to changes. Ability to work independently as well as collaboratively with others. Proficiency in operating related equipment. Physical capability to fulfill the duties of the position.
