As an Administrative Support Specialist, you will play a vital role in ensuring that office functions operate seamlessly. Acting as the bridge between management, staff, clients, and vendors, you will gain exposure to a variety of roles and departments.
Typical responsibilities include:
- General Administrative Tasks: Handling phone inquiries, managing emails, maintaining office supplies, organizing documents, photocopying, faxing, and mailing.
- Scheduling and Coordination: Managing calendars for one or more executives, arranging meetings and appointments, and coordinating travel logistics.
- Record Management: Keeping records, databases, and filing systems organized, whether digital or physical.
- Document Preparation: Drafting memos, invoices, reports, and other office documents, including proofreading for accuracy.
- Meeting Preparation and Follow-up: Setting up meeting spaces, preparing agendas, taking minutes during meetings, and ensuring follow-up actions are executed.
- Client Relations: Serving as the initial point of contact for clients, vendors, and other external partners, greeting visitors, addressing inquiries, and resolving issues.
- Supporting Colleagues: Assisting other office personnel with their tasks, which may vary widely depending on the office's nature and specific job requirements.
- Financial Assistance: Administrative support specialists may also help with basic financial tasks such as invoicing, budget monitoring, and expense reporting.
- Prior office/administrative experience is essential.
