About the Role:
Reporting to the Senior Proposal Manager, the Senior Proposal Specialist plays a crucial role in coordinating proposals for the business, ensuring that Graham effectively responds to solicitations (Requests for Proposals, Requests for Information, etc.) with high-quality, client-focused content. The incumbent understands Graham's business and proposal processes and objectives, and is responsible for planning, conducting, and coordinating various proposal support activities, collaborating with multiple team members within the organization to assist in the preparation of proposal response materials. The incumbent manages internal proposal deliverables, creates cohesive and coherent content by integrating information from various formats (pre-written, verbal, graphic), and oversees the final production for submission. The incumbent also contributes to the development of team plans and discussions.
Key Responsibilities:
- Implement the proposal process as outlined in the Graham system, ensuring all prepared proposal and qualification submissions are of high quality, compliant with solicitation requirements, and effectively communicate Graham's capabilities and service value.
- Ensure client documents are downloaded and updated regularly, distributing copies to all proposal response team members.
- Demonstrate a thorough understanding of the solicitation documents, identify response deliverables, establish submission timelines, and communicate responsibilities and accountabilities to the response team.
- Organize and manage an internal proposal kick-off meeting (with the Pre-Construction Manager and relevant Pre-Construction team members), during which responsibilities (including personal deliverables) will be assigned, and win strategies, key messages, differentiators, and storyboarding will be discussed and agreed upon.
- Assist in the creation of written, graphic, and video content.
- Review and edit narratives for clarity, grammar, and readability, ensuring a unified voice and consistency in format and terminology.
- Support the development of presentations, e-bulletins, and other internal and external communications and documentation.
- Help maintain the document library for proposal content, resumes, project fact sheets, etc.
- Support proposal activities across multiple branch locations as necessary.
- Manage customer experiences to ensure positive relationships are established and maintained.
Education/Qualifications:
- Completion of a relevant diploma training program at a college or technical school, or a university bachelor's program is preferred.
- 1-5 years of relevant proposal coordination experience is required.
- Experience in a construction company is preferred but not essential.
- Ability to lead a process with support and guidance.
- Ability to work under tight deadlines and demanding schedules.
- Proficiency with Adobe Suite, MS Office Suite, Toolbox, and SharePoint.
- High level of organization; methodical in approach to workload.
- Strong communication and writing skills.
Compensation:
- $61,800 per annum.
- Salary will be commensurate with education and experience.
