Overview

The Role

The IT Project Coordinator will take charge of leading the modernization initiatives for the organization's IT systems. This pivotal position demands proven project management skills and a strong leadership presence. The coordinator will collaborate closely with the Systems Modernization Steering Committee and project leaders to align academic transformation with system development priorities and strategic objectives.

This is a 2-year term with the possibility of extension. The position is flexible regarding location.

Key Responsibilities

1. Project Execution:

Oversee and drive modernization projects in collaboration with project leaders and the Systems Modernization Steering Committee. Develop comprehensive project plans that outline objectives, scope, milestones, deliverables, timelines, budget estimates, and resource allocations. Track project advancement, pinpoint risks, and implement corrective measures to achieve project goals. Foster collaboration among various teams, project leaders, and the Steering Committee.

2. Resource Oversight:

Manage the resources necessary for project progression, including budget considerations, in consultation with project leaders and their supervisors. Engage with internal and external stakeholders to ensure effective communication and address potential challenges.

3. Needs Assessment and Strategic Guidance:

Analyze the organization's immediate IT system requirements in partnership with the committee and strategize for long-term needs. Identify opportunities to enhance existing systems and suggest innovative solutions. Stay informed about the latest technological trends and propose advancements that could enhance business systems. Offer data-driven strategic recommendations to support system modernization efforts.

4. Project Monitoring and Evaluation:

Manage project risks and challenges, proactively identifying and resolving issues to minimize impacts on performance. Ensure the quality of project outputs through thorough reviews, ensuring they meet stakeholder expectations. Establish monitoring and evaluation systems to assess the performance of ongoing projects and systems. Generate regular reports detailing project progress, outcomes, and suggestions for continuous improvement. Provide transparent updates to stakeholders regarding project status, considering any changes that may affect timelines and expected outcomes. Actively solicit feedback from stakeholders to gauge their needs and expectations, addressing any arising issues.

5. Supplier Management:

Build and maintain strong relationships with IT system vendors, negotiate contracts, and manage service delivery.

6. Team Development:

Facilitate training and development opportunities for team members in technical skills and project management methodologies. Inspire and lead the team towards excellence in project execution.

7. Change Management:

Lead change management initiatives, ensuring that transitions are planned and executed to minimize service disruption. Develop an internal communication and change management strategy to regularly update on project progress. Evaluate the effectiveness of IT system changes in terms of user satisfaction and operational efficiency.

8. Compliance:

Ensure adherence to relevant IT system regulations, including data protection and cybersecurity standards.

Qualifications

Education and Experience:

Diploma or degree in Information Technology or a related field, along with PMP certification. Strong communication skills in English; proficiency in French is an asset. Experience managing the full project lifecycle in a complex project environment is essential.
