Job PurposeThe Senior Project Coordinator position plays a critical role in managing small to mid-size projects through the entire project lifecycle. This includes directing and advising technical field teams to drive successful client implementation. As a core member of the project team, the Senior Project Coordinator will work closely with Project Managers to implement projects, monitor schedules and finances, and coordinate day-to-day operations of technical field teams.
Key Responsibilities- Work independently on small and mid-size projects, ensuring timely completion and adherence to project scope.
- Collaborate with Project Managers on medium and large projects, providing support and guidance as needed.
- Engage with Service Estimation to obtain critical information, including scope of work, costings, and technical questions.
- Review project information for accuracy, ensuring scope of work, costing, materials, and miscellaneous details are up-to-date.
- Continuously review and update estimated costing information in ERP systems.
- Maintain all SRO-related dates within the ERP system, based on input from various departments.
- Work with Project Managers to define project execution strategies and provide tactical support.
- Drive project schedules, monitor budgets, and attend weekly scheduling meetings for field staff assignments.
- Document control to maintain detailed and accurate records, track information, and feed data to standard templates and systems.
- Assist in creating Change Orders and take and distribute meeting minutes.
- Responsible for customer site access tickets, performing accurate cost analysis on assigned projects, and completing post-mortem reviews.
- Work with internal teams to obtain delivery dates of capital equipment and materials, coordinating installations.
- Complete proper month-end cleanup for all work performed.
- Ensure consistent communication amongst project team members, actively participating in Project Management Office (PMO) huddles and meetings.
- Drive continuous improvement within the team and externally, eliminating waste and improving processes and quality.
- Identify and communicate opportunities for process and quality improvements, taking action when possible and involving management teams when additional support is needed.
- Ensure corporate practices for safety and general best practices for safety are followed at all times.
- Keep stock control systems up-to-date, ensuring inventories are accurate through cycle counts, annual inventories, and various audits.
- Experience in operations management culture.
- Ability to interpret and understand financial statements.
- Ability to clearly convey, deliver, and understand process flow and operational concepts in English.
- Experience and ability in the use of Syteline or other ERP systems preferred.
- Excellent computer skills, specifically MS Excel, MS Project, and PowerPoint.
- Ability and confidence to make decisions on a day-to-day basis.
- A minimum of 3-5 years of Project Coordination experience.
- Valid Driver's License.
- Incumbent must obtain a Criminal Record Check and Drivers Abstract on regular intervals upon starting and during employment.
