Job Summary:

We are seeking a highly skilled and organized Administrative Assistant / Receptionist to join our team at TOTEM RECRUITER. As an Administrative Assistant / Receptionist, you will be responsible for providing exceptional customer service, managing administrative tasks, and ensuring the smooth operation of our office.

Key Responsibilities:

  • Reception:
    • Welcome clients and manage the waiting area
    • Answer phone calls and respond to emails
    • Manage appointments and schedules
    • Provide information to clients
    • Handle filing, scanning, and archiving
    • Coordinate with staff members
    • Explain procedures to clients
  • Administrative:
    • Enter data and produce daily reports
    • Manage cash flow
    • Complete documents and declarations for clients
    • Handle supply inventory and orders
    • Maintain cleanliness and organization
    • Occasionally organize special events
  • Requirements:
    • 4-5 years experience in a similar role
    • Diploma in secretarial/administration or equivalent
    • Good working knowledge of English
    • Strong organizational skills, autonomy, and versatility
    • Excellent customer service skills
    • Available, flexible, and empathetic
    • Proficiency in Ms Office and general computer skills
