We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Tomato Finance. As an Administrative Assistant, you will play a critical role in supporting the day-to-day operations of our organization.

Key Responsibilities
  • Event Planning: Coordinate and arrange seminars, conferences, and other events to support the business objectives of Tomato Finance.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Office Procedures: Develop and implement office procedures and routines to improve efficiency and productivity.
  • Scheduling: Schedule and confirm appointments, meetings, and events to ensure smooth operations.
  • Customer Service: Provide exceptional customer service to internal and external stakeholders, responding to inquiries and resolving issues in a timely manner.
  • Reporting: Compile data, statistics, and other information to support business decisions and reporting requirements.
  • Inventory Management: Oversee the preparation of reports, order office supplies, and maintain inventory levels to ensure efficient operations.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations to support business needs.
  • Reception Duties: Greet visitors, direct them to contacts or service areas, and provide general administrative support.
  • Document Management: Set up and maintain manual and computerized information filing systems, type, and proofread correspondence, forms, and other documents.
Requirements
  • Education: College or CEGEP diploma.
  • Experience: 7 months to less than 1 year of experience in an administrative role.
  • Computer Skills: Proficient in MS Excel, MS Outlook, MS Windows, MS Word, and MS Office.
  • Language: English.
  • Work Environment: Fast-paced environment with ability to work under pressure.
  • Personal Suitability: Excellent oral and written communication skills, ability to multitask, and flexibility.
