Job Title: Administrative Assistant

Roska DBO is seeking an experienced Administrative Assistant to support daily operations at our Albian site in Fort McMurray. As a key member of our team, you will play a crucial role in managing schedules, coordinating meetings, handling communications, and providing general administrative support.

Job Scope:
  • Manage weekly frozen schedules in Maximo and print work orders
  • Send weekly feedback forms to the area planner
  • Enter STL/MTL weekly accountability into data spreadsheets
  • Process visitor and vehicle passes
  • Create job tickets for EyeSafe prescription safety glasses
  • Process expense requests, including business expenses and boots
  • Set up new hires and contingent workers in myrequests, including provisioning and network access
  • Submit and manage myrequests for furniture, cellphones, building maintenance, and conference room issues
  • Submit requests to office services for coffee supplies, vending machine issues, and office supplies
  • Host meetings as requested by the Superintendent
  • Share and distribute information from management
  • Manage the Superintendent's calendar, booking meetings
  • Manage meeting and room bookings through Outlook
  • Manage the Safety Point system in the Value Stream
  • Submit monthly BP TV submissions
  • Coordinate co-coverage requests
  • Assign lockers and manage the locker spreadsheet
Qualifications:
  • Minimum 3-5 years of oil and gas administration experience
  • Post-secondary education in Accounting and/or Business Administration preferred
  • Intermediate computer skills, including Microsoft Office (Excel, PowerPoint, Word, Outlook), Adobe Acrobat, and Nitro Pro
  • Basic knowledge of the Oil and Gas industry and Land Survey Descriptions (LSD) is considered an asset
  • High attention to detail
  • Excellent multitasking skills
  • Ability to process information, follow instructions, and complete tasks with minimal supervision
  • Strong written and communication skills
  • Excellent data entry and typing skills
  • Willingness to learn new computer programs and software
  • Ability to work in a fast-paced environment and adapt to change
