KEY RESPONSIBILITIES:
- Provide assistance with room reservations and related administrative tasks, including organizing set-up, catering, and directing internal and external stakeholders to appropriate services.
- Coordinate clinical training for various programs, including communication with instructors, participants, and the Medical Simulation Specialist.
- Support onboarding processes for students and staff as necessary.
- Offer scheduling and administrative assistance to preceptors, education leads, and the Academic Affairs program as needed.
- Aid in the organization of LHEARN events, including scheduling educational activities, liaising with speakers, assisting with course accreditation, and managing registration, parking, and other amenities.
- Prepare materials for events and courses, such as presentations, marketing content, agendas, and other essential documentation.
- Provide administrative support, including taking meeting minutes, for the LH Education Council.
- Create and distribute marketing and communication materials for the LHEARN Centre, including e-newsletters, updates for internal and external websites, and annual postcards.
- Deliver exceptional customer service to both internal and external stakeholders.
- Utilize independent thinking and practical problem-solving skills to address issues as they arise.
- Offer basic Audio-Visual (AV) support to users of the LHEARN Centre.
- Serve as the Health and Safety representative for the Academic Affairs and LHEARN program.
- Explore, develop, and implement initiatives to promote team wellness.
- Report to the Manager of Academic Affairs & LHEARN regarding opportunities for improvement and efficiency.
- Perform other duties as assigned.

REQUIREMENTS:

- Previous experience in an administrative or customer service capacity, ideally within a healthcare or educational environment; Office Administration Diploma is advantageous.
- Proficient computer skills, including Microsoft Word, Excel, Outlook, PowerPoint, Teams, SharePoint, and Canva.
- Strong communication and interpersonal skills, with a focus on excellent customer service.
- Ability to assess inquiries and challenges, exercising sound judgment in making appropriate referrals.
- Proven capability to work productively and independently amidst frequent interruptions.
- Demonstrated success in effectively organizing and prioritizing tasks.
- Proven ability to manage multiple responsibilities simultaneously and exhibit self-motivation.
- Detail-oriented and results-driven.
- Commitment to understanding and adhering to comprehensive safety programs and practices, including staff, patient, and environmental safety.
- Consistent attendance record with the ability to maintain this standard.
- Flexibility to accommodate occasional evening work as required by events.
- Willingness to work across various sites as needed (remote work is not suitable for this role).
- Experience in event planning is a significant asset.
- Skills in digital and/or print design are beneficial.
