Position Overview

Reporting to the Manager of Ambulatory Surgical Care, the Administrative Assistant III plays a crucial role in providing exceptional administrative and organizational support to the Division of Orthopaedics and two Orthopaedic Surgeons. Key responsibilities include:

  • Maintaining organized files and utilizing Outlook for coordinating surgeons' schedules.
  • Scheduling patient surgeries and liaising with families, departments, hospitals, and agencies.
  • Facilitating team communications while proactively identifying and resolving issues.
  • Creating and managing the clinic's master schedule for the Orthopaedic Care Team.
  • Coordinating travel arrangements and expense recovery as needed.
  • Attending meetings, taking minutes, and distributing them as required.
  • Handling correspondence and records for computerized medical billing.
  • Providing academic and research support, including literature searches and article retrieval.
  • Managing office supply inventory and placing orders as necessary.
  • Participating in discussions to enhance clinic efficiency and operations.
  • Preparing purchase requisitions, cheque requisitions, and petty cash vouchers.
  • Performing dictation, word processing, and database entry tasks.
  • Preparing and transcribing reports, project documents, and correspondence.
  • Generating and tracking performance indicators as needed.
  • Establishing and maintaining an organized office filing system, including processing mail.
Work Schedule

Monday to Friday, 8-hour shifts.

Qualifications
  • High School Diploma or G.E.D. is required.
  • Graduation from a recognized medical office administration diploma program is required.
  • A minimum of two (2) years of relevant administrative experience is required, preferably in a healthcare setting.
  • Proficient in Windows, MS Office, Adobe Professional, Outlook, Meditech, and database programs.
  • Keyboarding skills of at least 60 wpm are required.
  • Successful completion of a medical terminology course is required.
  • Familiarity with office equipment is necessary.
  • Strong time management, analytical, and problem-solving skills are essential.
  • Excellent organizational, communication, and interpersonal skills are required.
  • Self-motivated with the ability to work independently and collaboratively.
  • High attention to detail and commitment to quality and accuracy.
  • Ability to handle confidential information with discretion.
  • Experience with computerized medical billing applications is preferred.
  • Knowledge of Community Wide Scheduling (CWS) is an asset.
  • Surgical booking experience is advantageous.
  • Dictaphone experience is a plus.
  • Competencies in additional languages are beneficial; French is preferred.
