Job Summary

We are seeking an experienced Administrative Specialist to join our team at Diaplan Financial Service Inc. The successful candidate will be responsible for providing administrative support to our finance and insurance team.

Key Responsibilities
  • Administrative Support
    • Provide administrative support to the finance and insurance team, including arranging and coordinating seminars, conferences, and other events.
    • Open and distribute mail and other materials, and plan and organize daily operations.
    • Record and prepare minutes of meetings, seminars, and conferences, and schedule and confirm appointments.
    • Manage contracts, answer telephone calls and relay messages, and compile data, statistics, and other information.
    • Greet people and direct them to contacts or service areas, and set up and maintain manual and computerized information filing systems.
    • Type and proofread correspondence, forms, and other documents, and perform data entry.
    • Provide customer service, maintain and manage digital databases, and consult with clients after sale to provide ongoing support.
  • Technical Skills
    • Proficient in Google Docs, MS Excel, MS Outlook, MS PowerPoint, and MS Word.
    • Experience with electronic schedulers, accounting software, and business diagram software.
    • Familiarity with financial terminology, insurance products, and financial statements.
  • Personal Qualities
    • Ability to work independently, manage tight deadlines, and maintain attention to detail.
    • Excellent written communication skills, flexibility, and ability to multitask.
    • Team player with accurate and reliable work habits, and a client-focused approach.
  • Education and Experience
    • Secondary (high) school graduation certificate, with 7 months to less than 1 year of experience in a related field.
