About the Role

The Nanaimo African Heritage Society (NAHS) is seeking an Office Assistant to support the regular administration of our not-for-profit organization. This role will assist with planning and implementing the Annual General Meeting and special events, including Black History Month.

Key Responsibilities

  • Handle incoming phone calls and written correspondence, providing prompt responses and forwarding to appropriate staff members when necessary.
  • Perform general clerical duties, including photocopying, faxing, and mailing.
  • Update the database of existing and potential NAHS stakeholders.
  • Maintain a professional appearance at all times.
  • Write emails, letters, and other written communication to clients and sponsors.
  • Research various subjects and topics.
  • Maintain electronic and paper files and correspondence.
  • Enter and update budget-related data using Excel spreadsheets.
  • Assemble signage display boards for the office and/or various events.
  • Assist in various capacities at special and outreach events.
  • Ability to maintain confidentiality.

Requirements

  • Experience using Microsoft Office software, Word, and Excel.
  • Typing 40+ wpm.
  • Professional appearance and telephone communication.
  • Ability to adapt to shifting priorities and manage multiple deadlines.
  • Prompt and reliable, with the ability to work well independently and as part of a team.
  • Prefer someone with experience in Adobe Photoshop, but not mandatory.

Time Commitment

There are two time commitment options available:

  • Requires a minimum of two (2) month commitment for 2-5 days a week during office hours (Monday – Friday from 9:00 am to 5:00 pm).
  • Requires a minimum of two (2) month commitment for 15-30 hours per week with some evening and weekend hours.

Benefits and Recognition

  • This volunteer position provides valuable experience for students and anyone with a passion for Black History. Volunteers are highly valued members of our team and contribute to making a significant contribution to the promotion of the NAHS.
  • NAHS will provide letters for all volunteers recognizing the number of hours and details on the work completed.
  • There are instances where NAHS hires on the basis of honorariums for casual labor.
