**Supervisor, Administrative Assistant**

**Work Arrangement: (4 days’ on-site/1 day remote)**

**Position Summary**:
ErinoakKids is currently seeking a talented and dynamic individual to fill the role of Supervisor, Administrative Assistant. Based out of the ErinoakKids
Mississauga site and reporting to the Vice President, Information Systems &
Corporate Support Services, this position will be responsible for supervising a team of Administrative Assistants.

**Key Responsibilities**:

- Provides leadership and supervision to the Administrative Assistant team in order to meet organizational needs and goals;
- Orients and trains Administrative Assistant team; maintains necessary and consistent skill set levels across the organization;
- Assigns workload to Administrative Assistant team and coordinates reassignment to ensure workload volumes are balanced, while effectively maintaining support needs;
- Liaises with Site/Program Managers to understand workload and deadlines in order to schedule assignments appropriately;
- Develops team’s strengths through coaching, role modelling and motivation to achieve individual and team performance objectives;
- Remains current with organizational processes, collaborates with both
- Administrative Assistant team and Site/Program Managers to recommend process changes in the administrative function, as needed;
- Identifies best practices and trends, collaborates with both the Administrative Assistant team and Site/Program Managers on process improvements to recommend changes;
- Oversees the performance of Administrative Assistant team, builds on strengths or offers development opportunities, as needed;
- Coordinates and assigns projects;
- Prepares/presents Performance Appraisals;
- Ensures Administrative Assistant team are cross trained for knowledge sharing and coverage;
- Ensures compliance with all relevant policies and procedures;
- Participates in recruitment of new Administrative Assistants in conjunction with Site/Program Manager and HR;
- Other duties as required.

**Qualifications**:

- Post-secondary level education in Business Administration, a related field, or equivalent experience;
- Proven experience in a lead administrative or supervisory role; with a minimum 5 years working as an administrative assistant;
- Effective leader with a high level of integrity; ability to lead a team in a collaborative environment;
- Exceptional people skills: interpersonal, communication and social skills;
- Strong time management and problem solving skills to perform tasks independently or with mínimal supervision, and within required deadlines;
- Highly organized and detail oriented;
- Comprehensive knowledge of various administration functions and processes;
- Resourceful, ability to multi-task in a fast-paced environment;
- Self-motivated, results-driven and analytical;
- Proven display of ErinoakKids culture and values;
- Willingness to travel from site to site as required;
- Knowledge of database software processes (i.e. Meditech) is an asset.
