The firm is part of Quadrus lnvestments Services, a large Canadian Mutual Fund Dealer with a wide network of wealth management and investment counselling business. We pride ourselves on delivering personalized service to our clients, and we are looking for a detail-oriented and organized Administrative Assistant to support our growing team.
**Job Summary**:
**Key Responsibilities**:
- Maintain and organize client records, documents, and files in both physical and digital formats, ensuring accuracy and confidentiality.
- Schedule appointments, meetings, and coordinate calendars for the investment team.
- Assist with the preparation of client invoices, financial reports, and other accounting documents.
- Provide data entry support for investment trades, including updating spreadsheets and accounting software.
- Handle incoming and outgoing mail, including organizing documents for tax filing and other important deadlines.
- Assist in the preparation of presentations, reports, and other materials for client meetings.
- Monitor and order office supplies, ensuring the office is stocked and organized.
- Perform general clerical duties such as photocopying, faxing and scanning.
- Support the accounting team with any other administrative tasks as needed.
**Qualifications**:
- High school diploma or equivalent; associate degree or certification in office administration or related field is a plus.
- Previous experience in an administrative or office support role, preferably in an accounting or financial setting.
- Proficiency in using Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Strong problem-solving skills and the ability to work independently as well as in a team.

**Responsabilités principales**:
- Accueillir les clients et visiteurs, gérer les appels et courriels entrants, en assurant une communication rapide et professionnelle.
- Maintenir et organiser les dossiers et documents des clients, tant en format physique que numérique, en garantissant leur exactitude et confidentialité.
- Planifier des rendez-vous, des réunions, et coordonner les calendriers de l’équipe d’investissements.
- Aider à la préparation des factures clients, des rapports financiers, et d'autres documents comptables.
- Fournir un support de saisie de données pour les transactions d’investissements, y compris la mise à jour de feuilles de calcul et de logiciels comptables.
- Gérer le courrier entrant et sortant, y compris l'organisation des documents pour les déclarations fiscales et les autres échéances importantes.
- Aider à la préparation de présentations, de rapports et d'autres documents pour les réunions avec les clients.
- Surveiller et commander les fournitures de bureau, en veillant à ce que le bureau soit bien approvisionné et organisé.
- Effectuer des tâches cléricales générales telles que la photocopie, faxes et la numérisation.
- Apporter un soutien à l’équipe d’investissements pour toute autre tâche administrative nécessaire.
**Qualifications**:
- Diplôme d'études secondaires ou équivalent ; un diplôme en administration de bureau ou dans un domaine connexe est un atout.
- Expérience préalable dans un rôle administratif ou de soutien en bureau, de préférence dans un environnement comptable ou financier.
- Maîtrise de la suite Microsoft Office (Word, Excel, Outlook).
- Excellentes compétences organisationnelles et souci du détail.
- Solides compétences en communication orale et écrite.
- Capacité à gérer des informations sensibles avec discrétion et à maintenir la confidentialité.
- Aptitude à gérer plusieurs tâches à la fois et à bien gérer son temps dans un environnement au rythme rapide.
- Compétences en résolution de problèmes et capacité à travailler de manière autonome ainsi qu’en équipe.
