In addition to providing administrative support to the team, you will also be the first point of contact for staff and visitors to the People & Culture office, providing a warm and welcoming atmosphere. You will play a crucial role in creating a positive first impression and ensuring the smooth flow of day-to-day operations.
An understanding of the importance of diplomacy and confidentiality is essential in this position, as you will frequently handle confidential and sensitive information.

Key Responsibilities:
- Provide administrative support to People & Culture team members including Talent, Culture and Engagement and Learning & Development
- Oversee the Police Security Clearance process by ensuring the timely and accurate completion of new files and renewals
- Managing probationary periods for new hires in support of operations, tech services and corporate services
- Act as general first point of contact for current and prospective employees
- Act as the face of People & Culture for employee, stakeholders and visitors to E-Comm 911
- Assist in maintaining office supplies and equipment
- Prepare and edit documents, reports, and presentations
- Act as backup coverage for Executive Assistant to VP, People and Culture during vacations and as needed due to project work and other key deliverables
- Manage and organize schedules, appointments, and meetings.
**WHAT YOU BRING**:
- Proven experience as an administrative assistant or in a related role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- Ability to handle confidential information with discretion
- Detail-oriented and able to multitask effectively
- Positive attitude and a willingness to learn
**SECURITY REQUIREMENTS**:
As a condition of employment at E-Comm, the required Police Security Clearance applicable to the position must be acquired and maintained. This is a process carried out by our law enforcement partner agencies, facilitated by E-Comm. The minimum residency in Canada to qualify for this position, as established by our law enforcement partner agencies, is 3 years.
