**Overview**
**Job Description & Responsibilities**
Administrative Support:
- Provide general administrative support to ensure the smooth operation of the office.
- Manage and maintain office files, records, and documents.
Communication:
- Answer and screen phone calls, take messages, and respond to inquiries.
Data Entry and Record-Keeping:
- Accurately enter and maintain data in spreadsheets or databases.
- Maintain and update contact lists and databases.
Client and Visitor Interaction:
- Greet and assist visitors, clients, and vendors.
- Provide a professional and welcoming atmosphere.
Filing and Document Management:
- Organize and file documents, ensuring easy retrieval when needed.
- Assist in the creation and maintenance of standardized document templates
Teamwork:
- Collaborate with colleagues and provide support to other departments as needed.
Confidentiality:
- Handle sensitive information and maintain strict confidentiality.
Problem-Solving:
- Identify and resolve routine administrative issues.
**Qualification and Education Requirements**
Strong written and verbal communication abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Quickbooks and other relevant software.
- Exceptional organizational abilities to manage tasks and documents effectively.
- Efficient time management to handle multiple tasks and prioritize effectively.
- Ability to maintain accuracy and prevent errors in documents and tasks.
- Skills in providing professional customer service to clients or stakeholders.
- Capability to manage multiple tasks simultaneously.
- Skill in identifying and resolving challenges.
- Flexibility to adapt to changing priorities and tasks.
- Maintaining a professional demeanor and confidentiality.
- Familiarity with office equipment like printers, copiers, fax machines, and phone systems.
- Ability to manage expenses and invoices as required.
- Accurate and efficient data entry skills for record keeping.
- Collaboration with colleagues and working well within a team.
- Comfort with learning and using new software and tools.

- 3-Month Probationary Period,
