Listings and Deal Coordinator for Real Estate Team

We are seeking an experience highly organized and detail-oriented individual to join our real estate team as a Listings and Deal Coordinator. In this role, you will play a crucial part in managing property listings and coordinating real estate transactions from the point of the first client interaction through to closing. Your primary responsibilities will include:
**Listing and Deal coordination**:
- Efficiently prepare all listing documents for all team listings including back checking of all properties.
- Prepare listing event calendars and book out appointments with appropriate trades ensuring timing of appointments align with agent availability.
- Save and organize all paperwork in Dropbox in an orderly and efficient manner.
- Brokerload all MLS listings on REALM and facilitate any modifications and open house updates.
- Manage Broker Bay to ensure information and showing instructions are entered correctly.
- Liaise with brokerage front desk, listing and deal’s department to ensure compliance with brokerage.
- Facilitate communication between buyers, sellers, agents and lawyers to ensure smooth and timely closing processes including the processing of FINTRAC.
- Daily updates to CRM to keep up-to date with relevant information on transactions and clients.
- Draft all offers, amendments and deal related paperwork for team.
- Facilitate backchecks on all properties clients will be offering on.
- Coordinate signing of documents in Docusign in a timely manner.
**Client/Agent/Team Interaction**:
- Respond promptly to inquiries from clients, agents and internal staff at brokerage.
- Be an ambassador for the brand to enhance overall client experience.
- Always ensure open lines of communication within the team and relay important information in a timely manner.
- Suggest team or client opportunities for enhanced engagement or exposure of the team.
**General Responsibilities & Demeanor**
- Assist with general administrative tasks to ensure smooth operation of listing process.
- Work with team for semi-annual market reports.
- Work hard and seek ways to improve your role and contribution to the team.
- Be flexible to meet deadlines and make things happen.
- Take pride in knowing files intricately. Look at the larger picture of each client and transaction.
- Anticipate needs of clients, agents and team members.
- Conduct regular audits to ensure accuracy of files, paperwork and client information is correct.
**Qualifications**:
- Minimum one year minimum experience in real estate administration or deal processing is required.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Proficient in using; Dropbox, Docusign, REALM, Status, Webforms, Broker Bay, Asana, Google Suite, CRM, Microsoft 365.
- Ability to work independently and collaboratively in a fast-paced, ever-changing environment.
**Salary**: $55,000.00-$65,000.00 per year
